Job summary

Sundance Institute is seeking a Festival Associate Manager, Music Cafe to assist in operating the Music Cafe during the Sundance Film Festival. The role supports venue logistics, scheduling, and cross‑department coordination in a hybrid onsite setting from Boulder, CO.

Core duties include coordinating with vendors and staff, overseeing equipment and space design, and maintaining budget adherence. The position requires strong organizational and communication skills, a valid US driver’s license,

Qualifications

• 3 years operational event planning and implementation experience.
• Strong interpersonal and professional skills.
• Ability to move items up to 50 lbs.
• Valid driver’s license and successful completion of MVR background check.
• Legal authorization to work in the United States.

Responsibilities

• Assist in management of operations and logistics for Music Cafe during Sundance Festival.
• Communicate with stakeholders and vendors to keep parties updated on venue planning and schedules.
• Design the venue space including signage and backline equipment with cross‑functional teams.
• Review security and evacuation plans with Safety & Security leadership.
• Oversee orders of equipment and furniture and manage delivery/return dates.
• Establish a setup/teardown timeline to share with production.
• Manage on-site operations and respond to issues, including load-ins and crowd tracking.
• Coordinate with volunteer department to ensure coverage, training and schedules.
• Provide timely information and responses to volunteers.
• Track projected vs. actual expenses to stay within budget.
• Conduct pre/post festival walkthroughs and ensure proper venue turnover.
• Write a comprehensive wrap report as directed.
