Job summary

The University of Washington is seeking a Program Coordinator to support three fellowship programs and two training grants within the Division of Allergy and Infectious Diseases. This role reports to the Program Manager of Education & Fellowships and drives scheduling, communications, and event logistics for multiple programs.

Responsibilities include coordinating interviews, graduations, CME events, maintaining databases, and assisting with evaluations.

Qualifications

• High school graduation or equivalent and two years of administrative/clerical experience.
• Equivalent education/experience may substitute for minimum qualifications where not legally required.
• Proficiency with Microsoft Office, including Word, Excel, and PowerPoint; demonstrated Excel experience.
• Ability to manage multiple tasks with strong organizational and communication skills.
• Aptitude for quickly learning new software and handling sensitive information.
• Flexibility to work non-standard hours, including Wednesday evening ID Conference and related events.

Responsibilities

• Provide program support for the annual fellowship interview process (100-150 applicants).
• Assist with planning fellowship graduations, orientations, and onboarding logistics.
• Manage fellowship schedules across Amion/MedHub/OneDrive and Infinity OnCall systems.
• Coordinate weekly CME and ID Conferences—schedule rooms, contact participants, and manage materials.
• Primary contact for inpatient teams and maintain fellowship websites and databases.
• Assist with collecting fellow evaluations and entering new fellow information annually.
