Job summary

AssuranceSD is seeking a Payroll Specialist to manage timesheets for personal care workers and ensure payroll is processed accurately and on time in compliance with federal, state, and funding regulations.

The role requires strong communication, confidentiality, and meticulous data entry, with responsibilities spanning tax withholdings, record maintenance, and inquiries from participants and workers. A supportive benefits package accompanies this position.

Qualifications

  • Formal education or experience related to accounting and financial management.
  • Experience with payroll processing and wage/hour regulations is a plus.

Responsibilities

  • Manage timesheets for personal care workers and ensure timely payroll processing.
  • Verify and resolve timesheet discrepancies before payroll issuance.
  • Process checks/direct deposit within established timeframes and withhold taxes.
  • Provide payroll support to workers and care managers as needed.
  • Maintain payroll records in compliance with laws and regulations.
  • Respond to wage verifications and audit requests.
  • Communicate professionally with all participants, workers, and external customers.

General Responsibilities:

The Lori Knapp Choice Payroll Specialist, is responsible for managing the timesheets of personal care workers and ensuring that workers are paid on time and in accordance with federal, state, and funding agency regulations and wage and hour laws.

Essential Duties and Responsibilities:
  • Collecting, verifying, validating, and processing timesheets relating to the fiscal agent payroll
  • Resolution and documentation of timesheet discrepancies prior to the generation of a payroll transaction
  • Process checks/direct deposit within established timeframes
  • Provide support for hired workers on timesheet completion and understanding
  • Process all needed payroll tax and other required withholdings
  • Withhold federal, state, and FICA taxes from each hired worker’s W-4 and deposit these taxes on behalf of the participant/member (employer) and hired worker.
  • Withhold garnishments and other deductions as directed by the employer or other legal and taxing authorities.
  • Maintain payroll records for every employer and hired worker in accordance with state and federal laws and regulations.
  • Respond to requests for wages, employment verifications, and audits on behalf of the employer
  • Effectively and professionally communicate with all participants/members, hired workers, ICs, Care managers, and other external customers.
  • Provide quick follow-up and resolution to payroll questions and concerns.
  • Adherence to all Fiscal Agent policies and procedures
  • Perform all other payroll tasks as needed
  • Adhere to established LKiChoice policies, procedures, and expectations
  • Other duties as needed to maintain a high-quality program
Who You Are:
  • Excellent communication skills via telephone, email, and in-person.
  • General math, clerical, data entry, and customer service.
  • Strong data entry and process skills.
  • Excellent interpersonal skills; self-driven, motivated, and results-oriented.
  • Computer skills using Microsoft Windows, Word, and Excel
  • High degree of professionalism and confidentiality regarding all aspects of the position and its responsibilities
  • Ability to juggle and prioritize multiple, often competing, priorities in a fast-paced environment.
  • Client-first mentality with the ability to interact with internal and external clients at all levels.
  • Documented formal education or experience related to accounting and financial management.
