Job summary

Hargrove & Associates Inc. is seeking a Technical Services Project Controls & Billing Specialist to handle project setup, change orders, invoicing, and AR follow-up.

The role focuses on accurate cost reporting, PO monitoring, and timely billing in a fast-paced environment. The ideal candidate has up to 5 years of admin or billing experience, strong attention to detail, and proficiency with Microsoft Office and project management software.

• Working knowledge of billing clients and verifying timesheets.
• Ability to work in a fast-paced environment.
• Extreme attention to detail.
• Understanding of customer deliverable expectations and preferences.
• Ability to set priorities and manage multiple tasks.
• Confident with using business management software.
• Excellent listening and communication skills, both verbal and written.

Responsibilities

• Set up projects per client requirements and PO/Work Order instructions.
• Process change orders and cost reporting.
• Bill clients according to billing schedules.
• Review teammate hours vs client timesheets and resolve discrepancies.
• File electronic documents and backup for invoices.
• Upload invoices into third party systems.
• Review teammate expense reports for billing accuracy.
• Monitor project costs to ensure PO limits are not exceeded.
• Follow up on accounts receivable.
