Job summary

Golub Capital is seeking a Facilities Assistant to support day-to-day operations of the Chicago or New York office. You will handle service requests, coordinate with vendors and engineers, and assist with invoices and safety training tasks.

The role requires a 8:30 AM–5:30 PM schedule with flexibility for after-hours on-call work, a minimum of 2 years in a corporate office, and a Bachelor’s degree. Strong communication and organizational skills are essential.

Qualifications

  • Bachelor’s degree required.
  • Minimum 2 years of corporate office experience; facilities or project management preferred.
  • Strong MS Office, familiarity with SharePoint and CRM a plus.
  • Excellent verbal and written communication skills.
  • Strong organizational skills.
  • Thorough, meticulous and highly accurate.
  • Flexible about hours and available after hours on work provided cell phone.

Responsibilities

  • Log and respond to service issues reported to the Facilities Team.
  • Place service tickets with vendors and building engineers for repairs and maintenance.
  • Coordinate and monitor on-site vendors such as HVAC and building engineers.
  • Assist with invoice processing and tracking.
  • Perform daily walkthroughs to identify maintenance issues and remedy them.
  • Maintain the facilities maintenance calendar and track visits.
  • Support AED, first aid and fire life safety training program with management.
  • Conduct new hire orientation and tours for new hires.
  • Collect and log COIs for vendors; follow up on expired COIs.
  • Monitor after-hours vendor work as needed; assist with ad-hoc projects.
