Job summary

Automatic Data Processing, Inc. in Orlando, FL is seeking a Facilities Operations Specialist to manage day-to-day building operations, maintenance, safety, and space utilization.

You will coordinate HVAC, plumbing, electrical systems, and vendor services to keep facilities safe and efficient. The role reports to the VP of Human Resources and requires at least 5 years of experience in commercial building maintenance, strong organizational and communication skills, and knowledge of safety

Qualifications

• Minimum of 5 years of experience in commercial building maintenance, facilities operations, or a related field.
• Experience coordinating vendors, preventive maintenance programs, facility projects, and operational expenditures.
• Working knowledge of HVAC, plumbing, electrical, fire protection, and general building maintenance systems.
• Strong organizational, communication, problem-solving, and decision-making skills.
• Knowledge of applicable building safety standards and regulatory requirements.
• Proficiency with Microsoft Office and general recordkeeping systems.

Responsibilities

• Manage day-to-day operations of facilities to ensure a safe, clean, functional environment.
• Develop, implement, and manage preventive and corrective maintenance programs.
• Conduct routine facility inspections and evaluate maintenance deficiencies and risks.
• Assess facility needs, set priorities, and recommend cost-effective improvements.
• Coordinate HVAC, plumbing, electrical, fire protection, and other building systems; arrange services as needed.
• Perform minor maintenance and repairs within licensing requirements.
• Serve as primary contact for vendors, contractors, and tenants; coordinate services.
• Evaluate vendor proposals, service agreements, pricing, and performance; support contractual actions.
• Monitor facility expenses and advise on budgets and operational improvements.
• Coordinate building inspections, certifications, and corrective actions for safety and codes.
• Evaluate office layouts and space utilization; recommend efficiency improvements.
• Manage procurement, inventory, and maintenance of office supplies and equipment.
• Ensure common areas are clean, organized, and functional.
• Collaborate with HR on workspace setup, onboarding logistics, and office moves.
• Support emergency preparedness, business continuity, and disaster recovery initiatives.
