Responsibilities
  • Support daily facility operations and help maintain a clean, safe, organized, and professional workplace.
  • Conduct routine walkthroughs to identify maintenance, safety, cleanliness, and operational concerns.

Maintenance & Vendor Coordination
  • Coordinate scheduling and site access for maintenance technicians, contractors, cleaners, and other service providers.
  • Communicate with vendors regarding service requests, scheduling, and completion of work.
  • Monitor vendor performance and elevate service issues when appropriate.
  • Maintain organized records of service visits, work orders, inspections, and facility-related documentation.
  • Assist with obtaining quotes and maintaining information related to facility vendors and services.
Supplies & Inventory
  • Monitor inventory levels for janitorial, maintenance, and facility supplies.
  • Place or coordinate supply orders as needed.
  • Receive deliveries and ensure supplies and equipment are stored appropriately.
  • Maintain organized storage, supply, and common areas.
  • Assist with tracking facility assets, equipment, keys, access cards, and other workplace resources.
Safety & Security
  • Support workplace safety procedures and help identify and report potential hazards.
  • Assist with emergency preparedness activities, inspections, and safety documentation.
  • Support building access, visitor procedures, keys, badges, and related security processes as assigned.
  • Help ensure facility policies and procedures are followed.
  • Escalate urgent maintenance, security, or safety concerns to the appropriate team member.
Administrative Support
  • Maintain facility calendars, records, checklists, work orders, and other operational documentation.
  • Assist with invoice review, purchase orders, expense tracking, and facility-related administrative tasks.
  • Communicate facility updates, maintenance notices, and service interruptions to employees when needed.
  • Support special projects and other operational initiatives as assigned.
Qualifications

High school diploma or equivalent required; associate degree or relevant technical training preferred.

1–3 years of experience in facilities, workplace operations, office operations, property management, hospitality, maintenance coordination, or a related field preferred.

Strong organizational and time-management skills.

Ability to prioritize multiple requests and follow tasks through to completion.

Strong customer service and interpersonal skills.

Clear written and verbal communication skills.

Comfortable working with vendors, contractors, employees, and building management.

Basic proficiency with Microsoft Office, Google Workspace, work-order systems, or similar workplace technology.

Ability to exercise good judgment and appropriately elevate facility and safety concerns.

Basic knowledge of workplace safety and facility maintenance practices is a plus.

Physical Requirements
  • Ability to move throughout the facility regularly during the workday.
  • Ability to stand, walk, bend, reach, and perform light hands‑on facility tasks.
  • Ability to lift and move supplies, boxes, furniture, or equipment weighing up to approximately 40 pounds, with assistance when appropriate.
  • Ability to respond to facility needs that may require periods of physical activity.
