Job summary

Jobtailor is seeking an experienced Facilities Director to lead a team of Facilities Coordinators across multiple locations in Illinois. You will set expectations, coach on troubleshooting, vendor communication, and issue escalation while aligning staffing and workload distribution.

You will manage vendor strategy, master service agreements, pricing, and performance evaluations, monitor KPIs and budgets, and present findings to senior leadership.

Qualifications

  • 5–7 years' experience managing a division or staff, including staff management, process development, and performance oversight.
  • Verbal and written communication skills suited to customers, vendors, and internal stakeholders at varying levels of seniority.
  • Significant prior experience in multi-unit facilities management concepts and best practices.
  • Track record of negotiating vendor contracts and managing vendor relationships strategically.
  • Ability to prioritize, delegate, and manage multiple concurrent projects and team priorities.
  • Experience with medical or dental equipment care, maintenance, and operation strongly preferred.

Responsibilities

  • Lead and develop a team of Facilities Coordinators overseeing day-to-day facility management across multiple locations.
  • Set performance expectations and coach team members on troubleshooting, vendor communication, issue escalation, staffing, workload distribution, and career development.
  • Assist with vendor strategy, including master service agreements, pricing, vendor performance evaluation, and vendor retention or replacement recommendations.
  • Establish and monitor KPIs and service-level parameters, holding internal teams and external vendors accountable.
  • Analyze work order history, spending trends, and budget data to identify cost savings, recurring issues, and process improvements.
  • Present findings and recommendations to senior leadership.
  • Oversee subcontractor sourcing and onboarding to maintain a reliable and compliant vendor network.
  • Oversee Facilities Department billing, including GL and location coding and resolution of escalated discrepancies.
  • Plan, scope, and oversee mid-to-large-scale facilities projects from initiation through completion.
  • Provide technical guidance to coordinators and field technicians.
  • Serve as escalation point for complex or high-impact facility issues.
  • Partner with Operations, Real Estate, Finance, and Practice Support on facilities initiatives and standards.
  • Participate in and oversee the on-call escalation structure for after-hours emergency coverage.

  • Occasional travel and flexible schedule availability
  • Bachelor's degree preferred
  • Availability Monday–Friday, 8:00 AM–5:00 PM, with flexibility outside standard hours as required
  • Ability to participate in the on-call escalation structure and support after-hours emergency coverage
