The purpose of this position is to manage multiple functions of building operations, maintenance, and safety. Responsibilities include, ensuring that all buildings are Code Compliant, to include meeting all legal requirements and Health and Safety standards. The position will manage all facility vendor relations. Responsible for overseeing & auditing policy compliance for safety, security, and sanitation standards throughout warehouse operations. Identify areas of the business where there is a risk of non-compliance and develop policies in conjunction with operations staff to reduce that risk. This position must also plan communication and training programs to help employees understand their roles in compliance. Provides assistance to the VP Operations as required.
POSITION ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
ESSENTIAL FUNCTIONS
Facilities:
- Responsible for being the single point of contact for all building customers and act as their liaison to other service providers.
- Responsible for ensuring safe and code-compliant facilities and infrastructure.
- Responsible for all preventative maintenance, necessary maintenance, and repairs to each of the building’s mechanical, electrical, HVAC and plumbing systems, ensuring the maintenance systems are running efficiently. Ensure that all completed projects are completed and recorded for all sites. Expected to track and ensure that logs are updated. Must be able to program and manage a CMMS (Computerized Maintenance Management System).
- Responsible for the fire system, weekly, monthly, quarterly, and yearly inspections on documentation including extinguishers, fire pumps, pump motors, flow testing, internal inspections, signage, cleanliness, etc. and be prepared for emergency response on all fire systems matters.
- Responsible for making sure the facility is operating under inclement weather conditions such as snow, rain, ice power outages and weather advisories.
- Responsible for Integrated Pest Management. Enforced by continual repetitive efforts both inside and outside the sites. Responsible for trend analysis from the inspection data and continual communication with the management staff.
- Responsible for scheduling daily projects to support the needs of the management team.
- Responsible to continually train maintenance team and all contractors on all aspects of the facility requirements.
- Manage expense budgets within approved allocations and provide monthly updates to year-end projections.
- Participates in the development and administration of maintenance, construction or service contracts, including requests for proposals, bid conferences, evaluation, selection of bids, and award of contracts.
- Schedule contractors and coordinate projects with the management team prioritized by need or requester. Budgets, accordingly, obtains and reviews contracts, inspects projects during the and after the completion, approves the invoices for accuracy to the contract.
- Responsible for the purchasing of building materials, tools, fuel, etc.
Safety:
- Develops, initiates, maintains, and revises policies and procedures for the general operation of the Compliance Program and its related activities to prevent illegal, unethical, or improper conduct. Manages day-to-day operation of the Program.
- Responsible for successful customer audits, inspections, compliance and filing reports to all regulatory agencies such as AIB, C-TPAT, OSHA, FDA, etc.
- Responds to alleged violations of rules, regulations, policies, and procedures by evaluating or recommending the initiation of investigative procedures. Develops and oversees a system for uniform handling of such violations, including proper reporting of violations or potential violations to duly authorized enforcement agencies as appropriate and/or required
- Acts as an independent review and evaluation body to ensure that compliance issues/concerns within the organization are being appropriately evaluated, investigated and resolved and provides reports on a regular basis, and as directed or requested, to keep senior management informed of the operation and progress of compliance efforts.
- Works with the Human Resources Department and others as appropriate to develop an effective compliance training program, including appropriate introductory training for new employees as well as ongoing training for all employees and managers.
- Develops and periodically reviews and updates Standards of Conduct to ensure continuing currency and relevance in providing guidance to management and employees.
- Develops an understanding of industry standard expectations to ensure we’re operating at a level of industry
EDUCATION AND/OR EXPERIENCE
- Education ( level): Bachelor's degree.
- Experience (minimum level of direct experience): A minimum of 4 years’ experience in a warehousing organization, to include demonstrated leadership. Familiarity with operational and quality assurance procedures and regulations is a must.
- Knowledge/Skills: Knowledge of laws and regulations relevant to the logistics industry.
- Must have OSHA certification training.
- Must have background with operations of all warehouse equipment.
- Must have knowledge of food safety.
- Working time must be flexible upon company needs.
KNOWLEDGE, SKILLS, AND ABILITIES
PHYSICAL DEMANDS
- The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
- Must have the ability to lift and/or move office and warehouse supplies, receivable items, shipments and equipment and files ranging anywhere from 5 – 50 lbs,
- Fine hand manipulation – typing, writing, may assist with packaging of items.
- Must be able to place outbound calls and answer phones, talk/speak and listen coherently.
- Must be physically able to open filing cabinets and bend, stand, balance, stoop or twist as necessary.
- Vision abilities required by the job include close vision and distance vision.
- Ability to walk around the warehouse to gather information (frequent walking).
- Must be able to stand and sit for 8 hours.
- Must not have a fear of heights – required to get on a lift for inventory audits
