Job Summary
The Facilities Coordinator supports the Associate Director of Facilities with maintaining high quality, well‑maintained properties throughout CCH. The FC ensures ongoing initiatives and maintenance projects are tracked and managed in a cost‑effective and efficient manner, providing transparency along the way. Provides the best service possible to all stakeholders in a way which maximizes profits and meets annual budget projections. This role also provides service to the CCH Central Office – Walnut Creek, to ensure maintenance requests are completed timely.
Key Responsibilities
- Contribute to caring and positive working and living environments for all employees and residents
- Conduct comprehensive property capital needs assessments, make recommendations within appropriate timelines and within budget limitations
- Oversee procedures related to inspections, scheduling, inventory control, record‑keeping, and cost management
- Maintain company standards for long‑term capital improvement plans, preventive maintenance, and emergency preparedness plans
- Manage the Facilities Department’s capital improvement project tracking system, ensuring accurate and up‑to‑date project information and providing reporting to executive leadership and Board members as necessary
- Draft scopes of work in collaboration with Community Managers and Maintenance Technicians, and prepare budgets for capital improvement and maintenance projects
- Respond to and consult with Portfolio Managers when the need for major repairs or costly non‑routine maintenance arises at a property
- Assess incoming incident reports to determine the adequate plan of action, aligning communications between Property Management personnel and other stakeholders to keep everyone informed of project status
- Supervise major repairs performed by CCH’s maintenance staff and consult outside resources when necessary to assure compliance with industry standards
- Assess current maintenance policies and procedures and make recommendations, as appropriate
- Solicit and review bid packages with Property Management to assure comparable proposals
- Maintain the approved vendor list and conduct periodic vendor assessments to ensure cost competitiveness
- Provide job training and educational opportunities for maintenance and janitorial staff
- Promote cost‑savings measures and quality improvement strategies
- Assist site staff with pre‑inspection readiness, ensuring maintenance findings are corrected within established timelines
- Ensure proper update and maintenance of Safety Data Sheets (SDS) by property staff
- Ensure that safety precautions and procedures are undertaken by site staff
- Perform periodic site visits during major rehabilitation projects to monitor progress and address potential issues proactively
- Provide hands‑on assistance with repairs when needed
- Other duties as assigned
Reporting and Organizational Relationships
This position will report directly to the Associate Director of Facilities and does not have supervisory responsibilities.
Compensation and Classification
Salary range: $70,304 – $92,600 annualized. This is a full‑time, exempt position. CCH offers a competitive benefits package that includes health, dental, vision and life insurance, an 8% employer contribution to retirement, and additional benefits. The position is based at CCH Central Office, 1855 Olympic Blvd, Walnut Creek, CA 94596.
Physical Demands
Physical demands include continual sitting, typing, and repetitive computer use for up to 8 hours a day. The position also requires frequent communication with others, including hearing and speaking clearly with individuals and groups, in person and via phone and video calls. Qualifications
- 3 years’ experience working in varied construction trades or multi‑family property maintenance or facilities; OR an equivalent combination of education and experience in construction trades or multi‑family property maintenance or facilities management
- Ability to achieve results for the organization with and through other people, utilizing creative and innovative solutions, conflict management and problem‑solving skills
- Advanced knowledge of the tools and testing equipment associated with the repair and servicing of mechanical equipment
- Ability to adhere to Fair Housing requirements in the performance of duties and responsibilities
- Working knowledge of electrical, plumbing, carpentry, painting and refurbishing
- Ability to write job specifications and scope of work
- Knowledge of OSHA regulations
- Proficiency in reading blueprints and schematics
- Familiarity with HVAC systems and various appliances
- Ability to work under pressure and successfully meet deadlines
- Ability to work independently and in a team environment, under minimal supervision
- Ability to handle shifting and multiple priorities in a fast‑paced, growth environment
- Strong communication, decision‑making, interpersonal, organizational, administrative, negotiation and conflict‑resolution skills

- Must be able and willing to travel to all company locations to carry out duties and responsibilities

- A valid driver license, reliable personal vehicle, personal auto insurance as required by law, and an MVR sufficient to obtain and reasonably maintain insurability under agency auto liability policies are essential job requirements
