What this job involves
The Facilities Coordinator will support Site and/or Assistant Facility Managers with operational activities including maintenance, operations, accounting, vendor oversight, equipment and supplies management, occupancy services, and developing client relationships to ensure service levels are met.

Building positive client and vendor relationships while maintaining high operational standards.
Service Delivery
- Support teamwork, cooperation, performance excellence, and personal success.
- Conduct daily walk-throughs to ensure a clean and organized office environment.
- Respond promptly to work orders, ensuring KPI compliance and excellent customer service.
- Identify opportunities for operational improvements and make recommendations.
- Schedule and oversee repairs, maintenance, and work requests, tracking progress to completion.
- Coordinate with vendors and service providers to ensure smooth operations.
- Assist in procurement of vendors and services.
- Manage site amenities and support event and meeting logistics.
- Handle additional duties such as reception, mail services, office supplies, landlord relations, and building access management.
- Maintain accurate records and documentation related to site activities.
- Develop and update emergency response plans, including evacuation procedures and safety protocols.
Client Relationship Management
- Meet or exceed contractual KPIs and client expectations.
- Deliver high-quality service reflected in positive client feedback.
- Ensure site operations comply with policies, procedures, and contractual scope.
Qualifications
- Experience in facilities, property management, hospitality, or related fields preferred.
- Knowledge of local health and safety regulations, critical facilities, and vendor management is advantageous.
- Understanding of technical building systems (e.g., HVAC, fire protection, electrical) is advantageous.
- Proficiency with IT tools and platforms.
- Excellent communication, organizational, and problem-solving skills.
- Ability to work independently and handle stressful situations effectively.
- Self-motivated, confident, energetic, and flexible.
