Job description

Join us as a Facilities Coordinator at Aspen Dental

The person selected for this role will play a significant part in ensuring that Aspen Dental continues to provide access to care in facilities that demonstrate best-in-class safety, cleanliness, and functionality. This position will be responsible for:

  1. Managing day-to-day facility management and maintenance issues across multiple locations in a large geographic territory.
  2. Dealing tactfully and directly with facilities vendors to ensure required actions are completed.
  3. Managing expectations and performance within service level parameters; verifying work and services are completed.
  4. Communicating effectively with internal customers and contract vendors.
  5. Analyzing data and maintaining work order history and budget tracking.
  6. Searching for vendors and managing subcontractor agreements.
  7. Shipping items and tracking for the Facilities Department.
  8. Coordinating the Nitrous Mixer Preventative Maintenance program.
  9. Managing billing for Facilities tickets, including vendor communication and coordination with ADMI billing for correct GL and location codes.

The ideal candidate will possess exceptional customer service skills, a sense of urgency, and strong verbal and written communication abilities to meet diverse customer and vendor needs. Prior experience in multi-unit facilities management, vendor negotiations, analytical thinking, and real-time problem-solving is highly valued. The role may require occasional travel and a flexible schedule. A degree in higher education is preferred, but a willingness to develop new skills and take on more responsibility is essential. Work Environment:

  • Chicago or Syracuse-based candidates are preferred; exceptional remote candidates will also be considered.

Salary: $24-$25 per hour
