Responsibilities
- Perform specialized tasks associated with grants functions, including project related questions and issues.
- Serve as a primary point of contact and explain regulations and procedures pertaining to the grants function.
- Provide non‑routine administrative support for review of grant applications and contract proposals involving various problems and situations.
- Review completed work of other clerical staff to ensure instructions have been followed.
- Provide logistical support and coordinate scientific conferences, workshops, site visits, advisory group meetings, and related activities.
- Maintain data in local databases and prepare reports.
- Initiate and respond to inquiries by email, telephone, and letter, providing requested materials.
- Use software functions to produce documents requiring complex formats such as graphics or tables within text, edit and reformat electronic drafts, and update or revise existing databases or spreadsheets.
If you are selected at the GS‑05 or GS‑06 level, duties will be similar but less complex and performed under closer supervision with more detailed guidance.
Requirements
- U.S. Citizenship or proof of being a U.S. National by the closing date.
- Background investigation, verification of qualifications, and completion of onboarding forms and related job‑related requirements before or after appointment.
- Male applicants born after December 31, 1959 must be registered with the Selective Service.
- Ability to type at least 40 words per minute with no more than three errors in a five‑minute sample.
- Must possess no disqualifying documentation such as a disqualifying medical condition or mental health status that would prevent execution of essential duties.
Qualifications for GS‑05
- A. Completed four years of post‑secondary education above high school.
- B. One year of specialized experience at the GS‑04 level or higher, including:
- Processing paperwork and tracking applications.
- Providing administrative support through telephone screening, mail sorting, and filing.
- Logging transactional data using spreadsheets or database software.
- Providing logistics services such as mail delivery, document scanning, equipment procurement, and shipping files.
- C. Combination of post‑secondary education and experience that meets 100% of the qualification requirements.
Qualifications for GS‑06
- One year of specialized experience at the GS‑05 level or higher, including:
- Reviewing documents against established standards for accuracy and completeness.
- Answering customer questions and directing inquiries to appropriate parties.
- Managing office supplies and equipment and preparing purchase or repair requests.
- Maintaining administrative information using spreadsheets or database software.
- Coordinating meeting and travel logistics (creating itineraries, booking airfare and hotels, locating meeting venues).
- Must also meet the overall GS‑05 qualification requirements and typing requirement.
Qualifications for GS‑07
- One year of specialized experience at the GS‑06 level or higher, including:
- Reviewing grant applications or contract paperwork for accuracy and completeness.
- Retrieving management reports from various databases or systems on administrative matters.
- Managing office supplies and equipment and preparing purchase or repair requests.
- Using Microsoft Office products (or similar) to produce correspondence, narrative reports, spreadsheets, and presentations.
- Coordinating meeting and travel logistics as described above.
- Must also meet overall GS‑06 qualification requirements and typing requirement.
