Job summary

The Infinite Agency is seeking an experienced Experiential Producer to oversee production from brief to wrap in the Dallas–Fort Worth area, with some remote flexibility. You will drive timelines, budgets, and vendor coordination for brand activations.

Collaborating with creative, strategy, accounts, and operations, you will manage multiple programs, forecast costs in real time, and ensure safety, permits, and logistics are handled efficiently.

Qualifications

Responsibilities

• Lead planning, production, and execution of experiential programs from brief to wrap.
• Translate client objectives into production plans, timelines, and budgets.
• Forecast and track costs real-time while coordinating with creative teams and shops.
• Own onsite execution, including vendor management, staffing, and safety.
• Manage production needs: fabrication, F&B, AV, permits, logistics, travel, and staffing.
• Support account team during client presentations and status calls.
• Negotiate rates and contracts with vendors to deliver value.
• Partner with Creative, Strategy, Accounts, and Operations to deliver exceptional work.
• Lead internal meetings and cross-functional communication.
• Ensure scope, timelines, and deliverables are aligned.
• Oversee permits, insurance, health & safety plans, venue requirements, and legal docs.
• Maintain nationwide vendor network and negotiate rates.
• Identify and mitigate production risks early.
• Develop workback schedules, run-of-show documents, and on-site staff manuals.
• Support post-event recaps and learnings to improve workflows.

Job description

This is a role for an Experiential Producer at The Infinite Agency. The Producer will be responsible for overseeing the production process, managing timelines and budgets, collaborating with creative teams, and ensuring the successful delivery of projects. This role is based in Dallas-Fort Worth Metroplex, with flexibility for some remote work.

The person would need to have experience setting up brand activations, sponsorships, etc. Everything from the planning through estimating through the execution of the events.

DUTIES & RESPONSIBILITIES

• Lead the planning, production, and execution of experiential programs from brief to wrap.
• Translate client objectives and creative concepts into actionable production plans, timelines, and budgets.
• Manage multiple programs and timelines with the ability to effectively forecast and track costs in real time, while collaborating closely with creative teams and fabrication shops to ensure designs are feasible and in budget
• Own all onsite execution, including vendor management, staff oversight, safety procedures.
• Manage production needs, including but not limited to fabrication, food and beverage, AV, operations, permits, logistics, travel, and staffing.
• Support the account team during client presentations and status calls, confidently speaking on behalf of production by delivering proactive communication, setting realistic expectations, and providing solutions-oriented thinking.
• Manage internal PO process and track costs in real time to ensure projects deliver within margin targets, while also leading all post-program budget reconciliation
• Negotiate rates and contracts with vendors to deliver the best value.
• Partner with Creative, Strategy, Accounts, and Operations to deliver exceptional work.
• Oversee, mentor, and manage junior members of the production teams; delegate responsibilities effectively, and ensure work is upheld to company standards and processes
• Lead internal production meetings, workstreams, and cross-functional and cross-departmental communication.
• Ensure team alignment on scope, timelines, and deliverables
• Oversee all permitting, insurance, health & safety plans, venue requirements, and legal documentation.
• Maintain a nationwide network of vendors to support projects, cultivate relationships, and negotiate rates and contracts to deliver the best value and enhance project delivery
• Identify and mitigate production risks early, flagging to internal stakeholders
• Develop workback schedules, run-of-show documents, and on-site staff manuals.
• Support account on developing post-event recaps and learnings, capturing insights that improve future workflows and project performance.

QUALIFICATIONS

• Bachelor's degree in relevant field or equivalent work experience is preferred
• 2-4 years minimum of proven experience working in event planning and execution
