Job summary

Hampton Inn & Suites Nashville Downtown - Capitol View is seeking a Convention Services Manager to turn signed contracts into flawlessly executed events, building confidence with clients and coordinating details across departments from planning to post-event follow-up.

You will manage assigned meetings and catering events, prepare BEOs, maintain group rooming lists, upsell services, and collaborate with Front Office, Housekeeping, F&B, and Engineering to ensure seamless execution.

Qualifications

• Previous hotel, catering, event planning, conference services, banquet, or hospitality experience strongly preferred.
• Previous hotel sales or catering sales experience is a plus.
• Experience with BEOs, group resumes, rooming lists, and event planning documents is preferred.
• Experience entering rooming lists and managing group reservation details is preferred.
• Experience with hotel sales or catering systems is preferred but not required.

Responsibilities

• Build strong relationships with clients while guiding them through planning and execution of meetings/events.
• Coordinate all details for assigned groups including space, F&B, A/V, room setups, timelines, billing, and special requests.
• Prepare and distribute Banquet Event Orders (BEOs), group resumes, timelines, and other documents.
• Maintain accurate group rooming lists and reflect details in hotel systems.
• Coordinate rooming lists, VIP arrangements, amenities, billing instructions, and other logistics.
• Conduct pre-convention meetings and clearly communicate event details to hotel departments.
• Partner with Front Office, Housekeeping, F&B, Engineering, and other departments to ensure seamless execution.
• Serve as a visible hotel representative during events and respond quickly when client needs change.
• Maintain client and event information in sales/catering systems.
• Review upcoming events with leadership to identify potential challenges.
• Identify upselling opportunities for F&B, space, A/V, and upgraded offerings.
• Assist with selling and closing catering opportunities when appropriate.
