Job summary

Circle Logistics in Indiana is seeking an Expedite Tracking and Tracing Specialist to monitor freight, provide visibility, and maintain accurate documentation for loads. You will communicate clearly, troubleshoot issues, and proactively track time-sensitive shipments.

You will coordinate pickups/deliveries, work with drivers in the TMS, verify charges, and maintain records. A strong eye for detail, Excel proficiency, and experience in dispatching or logistics are preferred.

Qualifications

• High School diploma or GED required.
• 1–3 years in dispatching, customer service, freight brokerage, or related logistics roles preferred.
• Proficiency with Excel (VLOOKUP, pivot tables, data analysis) and ability to interpret TMS dashboards.
• Experience with TMS/CRM platforms; quick learner of new software.
• Strong written and verbal communication; detail-oriented and organized.
• Proficient with Google Drive and Microsoft Office suite.
• Associates or Bachelor's degree in logistics, business, or related field is a plus.

Responsibilities

• Coordinate on-time pickup and deliveries using various software systems.
• Track and trace Expedite shipments with drivers in the TMS; provide updates.
• Use phone, email, and text; maintain accuracy and urgency in communications.
• Learn reporting tools to provide data to customer reps and managers.
• Coordinate available freight with carrier equipment.
• Verify freight charges; ensure B/L receipt; resolve discrepancies before payment.
• Monitor B/L discrepancies; arrange return of commodity as needed.
• Track Expedite load assignments for time-sensitive freight.
• Initiate check calls with drivers for pickups and deliveries.
• Communicate with drivers to ensure on-time service.
• Monitor freight via websites to notify customers of delays.
• Maintain records with timestamps, trailer numbers, seal numbers, notes.
• Work with customer service/sales to resolve customer issues.
• May perform other duties as assigned.
