Job description

A successful hotel and hospitality real estate investment, development, and management company that acquires, constructs, and manages a diverse portfolio of landmark properties in the United States and Latin America is seeking to hire a Personal Assistant with extensive experience working with CEOs. The ideal candidate must be resilient, highly organized, and possess high-level integrity, honesty, and a great personality. This role offers significant growth opportunities.

The Personal Assistant will support the CEO in managing an extensive agenda, meetings, travel arrangements, and high-priority tasks. This role requires exceptional personal management skills, confidence to follow up with other executives, and the ability to meet deadlines while ensuring seamless coordination within the team.

Given the heavy travel schedule, the PA will also manage office operations, facilitate communication, and oversee personal and professional tasks. The candidate must be energetic, adept at multitasking, and capable of handling complex logistical and administrative responsibilities.

Key Responsibilities include:

  1. Calendar & Schedule Management: Organize and optimize the CEO’s calendar, proactively resolving conflicts.
  2. Task & Project Coordination: Track and follow up on tasks and deliverables to ensure deadlines are met.
  3. Travel Planning & Logistics: Arrange international and domestic travel, including flights, accommodations, and visas.
  4. Executive Liaison: Maintain clear communication between the CEO and stakeholders.
  5. Office & Administrative Management: Oversee office tasks and operations in the CEO’s absence.
  6. Personal Support: Assist with personal tasks outside of office hours if needed.
  7. Documentation & Presentation Preparation: Draft correspondence and prepare reports and presentations using Microsoft Office.
  8. Confidentiality & Professionalism: Handle sensitive information discreetly.

Qualifications & Skills:

  • Proven experience supporting C-suite executives as a Personal or Executive Assistant.
  • Exceptional organizational skills and multitasking ability.
  • Strong follow-up and deadline management skills.
  • Proficiency in Microsoft Office Suite and familiarity with task management tools.
  • Detail-oriented, reliable, proactive problem-solver.
  • Excellent communication and interpersonal skills.
  • Flexible and adaptable to a dynamic schedule.
  • Ability to work independently in a fast-paced environment.

Preferred Qualifications include:

  1. Financial Administration: Manage office expenses via Expensify.
  2. Human Resources: Facilitate onboarding and offboarding, coordinate with HR and IT teams.
  3. License & Contract Management: Oversee software licenses and platform contracts, conduct quarterly audits, and manage renewals.
  4. Project Management: Lead event planning, marketing initiatives, and community engagement projects.
