Qualifications

  • 2+ years of Executive/Personal assistant experience supporting a C-Suite or high-level Executive.
  • Experience coordinating both professional and personal responsibilities, including household matters.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Superior proofreading, editing, and document formatting skills.
  • Highly organized, detail-oriented, and reliable.

Responsibilities

  • Manage a high-volume, complex calendar spanning business and personal commitments across time zones.
  • Serve as gatekeeper for the Managing Partner, prioritizing demands with sound judgment.
  • Prepare daily and forward-looking schedules, flag conflicts and deadlines.
  • Coordinate scheduling communications, logistics and execution for meetings and travel.
  • Arrange domestic and international travel, including air, hotel, ground transport, and itineraries.
  • Oversee personal tasks, home-related projects, vendors, and ad hoc requests.
  • Plan and coordinate firm and select client-related events.
  • Maintain and organize contact lists and client/personal information.

Executive/Personal Assistant to Managing Partner

Location: Beverly Hills, CA (Onsite)

Hours: Monday–Friday, 9:00 AM – 6:00 PM

May require after-hours and/or weekend overtime work.

Compensation: $80k-120k + Paid Overtime

Beverly Hills Business and Entertainment Firm serving a sophisticated, high-profile client base is seeking an exceptional Executive Assistant to support the Managing Partner. This is a senior-level role requiring superior judgment, discretion, and the ability to manage a demanding schedule that includes both professional and personal responsibilities.

This role is ideal for a seasoned Executive/Personal Assistant who thrives under pressure, anticipates needs before they arise, and functions as a trusted strategic partner to the Managing Partner, with responsibility for managing priorities, anticipating needs, and exercising independent judgment to protect time and ensure seamless execution across both professional and personal matters.

Key Responsibilities include but are not limited to: Executive/Personal Assistant
  • Manage a high-volume, complex calendar encompassing business, personal, and family commitments, often across multiple time zones;
  • Serve as a strategic gatekeeper for the Managing Partner, prioritizing competing demands and managing access with sound judgment;
  • Prepare daily and forward-looking schedules, proactively flagging conflicts, deadlines, and logistical needs;
  • Manage communications and coordination related to scheduling, logistics, and execution, ensuring the Managing Partner is well-informed and prepared;
  • Coordinate domestic and international travel for the Managing Partner and family, including air, hotel, ground transportation, and itinerary management; respond effectively to last-minute changes;
  • Support personal and household management needs, including overseeing home-related projects and repairs, coordinating vendors, running errands, and managing ad hoc personal requests;
  • Plan and coordinate business, firm, and select client-related events;
  • Maintain contact lists and ensure accurate client and personal information is updated and organized.
The ideal candidate must possess:
  • Exceptional administrative, organizational, and communication skills (written and verbal);
  • A high level of integrity, discretion, and emotional intelligence;
  • Proven ability to manage heavy workloads, shifting priorities, and tight deadlines calmly and effectively;
  • Strong judgment with the ability to anticipate needs, identify issues, and proactively implement solutions;
  • A polished, professional demeanor and client-service mindset when interfacing with high-profile individuals, advisors, and vendors;
  • The ability to work independently while remaining aligned with firm and executive priorities;
  • Flexibility to accommodate occasional after-hours or urgent requests as required by executive and client needs;
  • A positive, can-do attitude with a strong sense of urgency and follow-through.
Qualifications:
