Job summary

Phoenix Rescue Mission in Phoenix, AZ seeks an Executive Operations Manager to be the engine behind the leadership team. You keep the CEO's time focused on donors, funders, and partners, and you ensure ELT decisions are turned into results.

You will manage the ELT rhythm, coordinate projects, calendars, briefings, and governance records, while supporting Board work and culture initiatives. This role demands organization, discretion, and servant leadership in a dynamic nonprofit setting.

Qualifications

  • Three to five years of progressive experience in executive support, project coordination, or operations. Experience supporting senior executives or a governing board is a plus.
  • Bachelor's degree preferred. Some college plus strong, relevant experience is welcome.
  • Proven ability to manage multiple complex projects at once and follow through with minimal supervision
  • Sound judgment and strict confidentiality
  • Excellent writing, proofreading, and communication skills, including executive-level reports and presentations
  • Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) and project tools such as Asana or Monday
  • Nonprofit or mission-driven experience preferred
  • A personal and growing relationship with Jesus Christ, and willingness to sign the Mission’s Statement of Faith and Lifestyle

Responsibilities

  • Run the ELT operating rhythm. Gather leader updates, build agendas, capture decisions, and follow up on every action item until it closes.
  • Drive strategic initiatives from idea to done. Build project plans, set milestones, and check in with owners. Run a shared project board so everyone sees the same status in real time, and flag stalled or competing projects for ELT decisions.
  • Protect the CEO's and Chief of Staff's time. Manage calendars and inboxes, screen and recommend on meeting and speaking requests, prepare briefings before key meetings with donors, funders, and partners, and provide a short daily look-ahead.
  • Support the Board and its committees. Own calendars, agendas, packets, minutes, and governance records.
  • Keep leadership informed. Prepare concise progress updates for ELT and the Board.
  • Support training and special projects. Coordinate consultant-led training, culture events such as Refresh, Spiritual Renewal, and the Christmas party, and other organizational projects as they arise.
