Medici is seeking a highly organized Senior Clinic Operations Coordinator to support our Executive Health Clinic in Austin. You will handle clinic operations, client experience, scheduling across EMR systems, and logistics for testing materials and events.

Ideal candidates are proactive, detail-oriented, and enjoy delivering exceptional service. The role requires coordinating appointments, restocking, gifting, and ensuring a polished patient journey.

Qualifications

• 2–3+ years in clinic operations or high-touch client-facing environments.
• Exceptional attention to detail, organization and follow-through.
• Proactive and resourceful with ability to anticipate needs.
• Strong judgment and discretion when interacting with clients and partners.
• Warm, personable and professional communication; comfort with multi-tasking.

Responsibilities

• Be the main point of contact for clients; answer questions and coordinate requests.
• Manage client scheduling across EMR and scheduling systems with physicians and services.
• Onboard new clients; coordinate testing materials, appointments and logistics.
• Coordinate communications and workflows for upcoming appointments and services.
• Ensure seamless client experience from arrival to follow-up.
• Oversee clinic readiness and inventory of supplies and gifts.
• Prepare, ship and track client testing materials (DNA kits, CGMs, etc.).
• Assist with invoices and other admin or operational needs as required.
• Identify clinic and client needs; solve problems and own day-to-day details.
