Medici is seeking a Senior Clinic Operations Coordinator in Austin to support the daily operations of our Executive Health Clinic. You will coordinate client appointments, testing kits, and logistics while ensuring a premium experience for every guest.

The role spans clinic operations, client experience, scheduling, and events. The ideal candidate thrives in a fast-paced, high-touch environment and brings proactive, detail-oriented service and strong communication to our team.

Qualifications

• 2-3+ years of experience in clinic operations or high-touch client-facing environments.
• Exceptional attention to detail and strong organizational skills.
• Highly proactive with strong ownership and judgment.
• Warm, personable, and professional with clients and partners.
• Excellent written and verbal communication skills.
• Ability to balance multiple priorities in a fast-paced setting.
• Experience in healthcare, hospitality, concierge services, or event coordination preferred.

Responsibilities

• Serve as a responsive point of contact for clients, coordinating requests and follow-through.
• Manage client scheduling across EMR and other systems with physicians and services.
• Support new client onboarding and logistics for testing and appointments.
• Coordinate communications and scheduling workflows for upcoming visits and services.
• Ensure a seamless client experience from arrival to follow-up.
• Oversee clinic readiness and inventory of supplies.
• Coordinate preparation and shipping of client testing materials.
• Assist with invoices and other administrative needs as required.
• Identify clinic and client needs and take ownership to keep operations running smoothly.
