Description
OVERVIEW
An Executive Coordinator plays a crucial role in supporting C-level executives by managing their schedules, communications, and various administrative tasks. This role will be crucial guiding Cadrex’s day-to-day rhythm and priorities while teaming up with the executive leadership team. The Executive Coordinator will guide the team by providing hands-on support to improve company performance and enhance the company’s goals. This role reports directly to the CEO.
Key Responsibilities
- Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements for executives
- Communication: Handle incoming and outgoing communications, including emails, phone calls, and memos
- Data Analysis: Able to pull and report on data in Excel and Power BI
- Document Preparation: Draft, review, and edit documents, presentations, and reports
- Meeting Coordination: Organize and prepare for meetings, including setting agendas, taking minutes, and following up on action items
- Travel Arrangements: Plan and book travel, accommodations, and itineraries
- Office Management: Maintain office supplies, manage office space, and ensure a smooth workflow
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality
- Project Support: Assist with special projects and initiatives as needed
Requirements
PREFERRED QUALIFICATIONS
- 5+ experience as an executive assistant or in a similar role supporting c-level executives
- Organizational Skills: Strong ability to manage multiple tasks and priorities
- Communication Skills: Excellent written and verbal communication skills
- Attention to Detail: High level of accuracy and attention to detail
- Technical Proficiency: Proficient in Microsoft Office Suite and other relevant software
- Problem-Solving: Ability to anticipate needs and proactively address issues
- Interpersonal Skills: Professional demeanor and ability to interact with various stakeholders
EDUCATION
- Bachelor's degree preferred
