Mutual of Enumclaw in Seattle is seeking an Executive Administration Coordinator to directly support our CEO and the Executive Leadership Team, manage calendars, travel, and prep materials, and own the day-to-day experience of a growing office.

You will run the Seattle office, coordinate meetings and events, manage vendors, onboarding, and facilities, and drive cross-team initiatives while building relationships across teams, agents, partners, and the community.

Qualifications

  • Bachelor's degree or equivalent experience preferred.
  • Experience handling confidential information with discretion.
  • Exceptional organizational and communication skills are essential.
  • Ability to manage complex calendars and travel with attention to detail.

Responsibilities

  • Support senior leadership. Manage calendars, travel, prep materials, and correspondence with discretion.
  • Run the Seattle office. Manage vendors, facilities, onboarding logistics, and space safety and welcoming culture.
  • Own special projects and coordinate cross-team initiatives to improve office operations.
  • Coordinate high-stakes meetings and events from planning to execution.
  • Build relationships across Home Office teams, agents, partners, and the community to learn the business.

Job description

As we continue to settle into our brand-new Seattle office, we're looking for someone exceptional to be right at the center of it.

Location: Seattle, WA

This isn't a typical Executive Assistant or Office Manager role. As the Executive Administration Coordinator, you'll support our CEO and Executive Leadership Team directly, own the day-to-day experience of a growing office, and get a front-row seat to how a property & casualty insurance company actually runs.

If you're organized, sharp, discreet, and energized by being the person people count on, this could be the launchpad for a long-term career.

What you'll actually do
  • Support senior leadership. Manage complex calendars and travel, prep materials and correspondence, and anticipate needs before they become problems – all with the judgment and discretion this level of access requires.
  • Run the Seattle office. Be the go-to person for vendors, facilities, supplies, onboarding logistics, and anything that keeps the space safe, functional, and welcoming.
  • Own special projects. Jump into cross-team initiatives, track them to completion, and look for ways to make the office and leadership team more effective.
  • Coordinate high-stakes meetings & events. From Executive Leadership Team meetings to Board meetings to the company's annual meeting, managing logistics start to finish.
  • Build real relationships. Across Home Office teams, agents, partners, and the community, while learning the insurance business from the inside out.

  • Strong, professional communication with everyone from the CEO to a vendor to a Board member

  • Willingness to be fully onsite in Seattle, with occasional flexibility for evenings/weekends

A bachelor's degree or equivalent experience is preferred – that experience can come from internships, hospitality, customer service, campus leadership, or admin work. What matters most is initiative, judgment, and a genuine desire to learn and grow.
