Job summary

Williams is seeking an Executive Assistant to provide high-level administrative support to our executive leaders. You will manage calendars, coordinate travel, prepare documents, and handle confidential information with discretion.

The role requires strong organization, excellent communication, and the ability to partner with directors and the C-suite. You will support budgets, reports, and strategic initiatives while mentoring others and ensuring smooth operations.

Qualifications

  • High school diploma or GED required.
  • Minimum five years’ experience supporting executive management.
  • Bachelor’s degree preferred.
  • Strong verbal and written communication skills.
  • Demonstrates excellent organizational/interpersonal skills and safety as the utmost priority.
  • Needs advanced knowledge of Microsoft Office Application and PC skills, including Microsoft Teams.
  • Excellent time management skills, including the coordination of executive meetings, calendars and travel.
  • Demonstrates ability to handle confidential and sensitive information.
  • Preferred: Beginner to Intermediate knowledge of SharePoint.

Responsibilities

  • Provides administrative and clerical support for one or more persons, including work of a confidential nature
  • Responds to inquiries from our internal and external business partners
  • Assists in the technical and functional services of the department by providing support on projects, invoice management, preparing documents for approval, preparing presentations, monitoring data, reporting
  • Maintains cost center data and analysis
  • Assists with preparation of budgets and forecasts
  • Supervises work of personnel on assigned projects
  • Mentors others
  • Manages administrative support for a G&P legal team, handling routine and ad hoc requests with discretion and adaptability
  • Prepares meeting logistics materials and coordinates the distribution of materials and reports; interfaces professionally with directors and C-suite leadership
  • Other duties as assigned

The Executive Assistant is responsible for providing administrative support to our Executive Leaders.
