Job summary

Williams is hiring an Executive Assistant to support our executive leaders in a high-demand environment. This role requires exceptional organization, judgment, and the ability to handle sensitive information while partnering with senior leaders.

You will manage complex calendars, coordinate travel, prepare documents, and support budgeting and reporting efforts. The position offers hybrid work arrangements and opportunities to contribute to a Fortune 500 company known for growth and advancement.

Qualifications

  • High school diploma or GED required; at least 5 years’ experience supporting executive management.
  • Bachelor’s degree preferred.

Responsibilities

  • Provides administrative and clerical support for one or more persons, including confidential work.
  • Responds to inquiries from internal and external business partners.
  • Supports department projects, invoice management, document preparation, and presentation creation.
  • Maintains cost centre data and analysis.
  • Assists with budgets and forecasts.
  • Supervises staff on assigned projects and mentors others.
  • Manages executive support for a G&P legal team with discretion.
  • Prepares meeting logistics and coordinates distribution of materials and reports with directors and C-suite leadership.

The Executive Assistant is responsible for providing administrative support to our Executive Leaders. To be successful in this role, you’ll need to be exceedingly well organized, handle a range of sophisticated assignments requiring the use of experience, innovation and judgment, while working closely with the executive and their sources!

Responsibilities / Expectations
  • Provides administrative and clerical support for one or more persons, including work of a confidential nature
  • Responds to inquiries from our internal and external business partners
  • Assists in the technical and functional services of the department by providing support on projects, invoice management, preparing documents for approval, preparing presentations, monitoring data, reporting
  • Maintains cost centre data and analysis
  • Assists with preparation of budgets and forecasts
  • Supervises work of personnel on assigned projects
  • Mentors others
  • Manages administrative support for a G&P legal team, handling routine and ad hoc requests with discretion and adaptability
  • Prepares meeting logistics materials and coordinates the distribution of materials and reports; interfaces professionally with directors and C-suite leadership
  • Other duties as assigned

Education / Years of Experience: Required: High school diploma or GED; a minimum five (5) years’ experience supporting executive management Preferred: Bachelor’s degree

Other Requirements
  • Strong verbal and written communication skills
  • Demonstrates excellent organizational/interpersonal skills and safety as the utmost priority
  • Needs advanced knowledge of Microsoft Office Application and PC skills, including Microsoft Teams
  • Excellent time management skills, including the coordination of executive meetings, calendars and travel
  • Demonstrates ability to handle confidential and sensitive information
  • Preferred: Beginner to Intermediate knowledge of SharePoint #LI-KK1
