The Opportunity:
Summit Ventures is seeking an exceptional Executive Assistant to serve as the trusted operating partner to a Principal across operating companies, investments, family-office activities, philanthropy, travel, and personal priorities. This is a high-trust, high-accountability role for someone who can absorb context quickly, protect the Principal's time and attention, anticipate needs, exercise excellent judgment, and ensure that important commitments move from conversation to completion.
Summit Ventures is a diversified, privately held operating and investment platform with interests spanning real estate, hospitality, financial services, technology, agriculture, experiential entertainment, philanthropy, and other entrepreneurial ventures. The environment is hands‑on and fast paced; priorities can shift quickly as new information emerges.
What You'll Own:
Executive Partnership & Attention Management
- Strategically manage the Principal's calendar across business, investment, family-office, philanthropic, travel, family, and personal commitments.
- Triage inboxes and approved communication channels; draft polished responses in the Principal's voice and determine what can be handled, delegated, elevated, or declined.
- Serve as a thoughtful gatekeeper—protecting focus and priorities while maintaining warmth, responsiveness, and strong relationships.
- Anticipate preparation needs, conflicts, deadlines, decision points, and downstream consequences before they become urgent.
Execution, Follow-Through & Decision Support
- Maintain a trusted system for the Principal's requests, commitments, decisions, delegated assignments, deadlines, and open loops.
- Convert meetings, messages, voice notes, and conversations into clear actions, owners, due dates, and visible status.
- Prepare concise daily and weekly briefings that surface priorities, unresolved decisions, overdue deliverables, emerging risks, and recommended next steps.
- Prepare agendas, research, correspondence, talking points, and decision-ready summaries; follow through across stakeholders until matters are resolved.
- Use approved AI and productivity tools to improve meeting preparation, authorized note capture, research, drafting, task management, knowledge organization, and administrative efficiency.
- Bring practical experience with platforms such as ChatGPT/Codex, Microsoft Copilot, Notion, Granola, Plaud, Asana, Monday.com, Microsoft Planner, or comparable tools. Specific platforms will evolve over time.
- Build useful dashboards, checklists, templates, standard operating procedures, and searchable reference materials; identify repetitive work suited to sensible automation.
- Apply disciplined privacy and information-security judgment, especially when using AI, recording, transcription, cloud, or third‑party tools with confidential or privileged information.
Travel, Family Office & Personal Coordination
- Plan domestic and international business and personal travel, including commercial and private aviation, accommodations, ground transportation, meetings, dining, activities, and contingency plans.
- Create clear itineraries and provide real‑time travel support, anticipating timing, documentation, security, weather, and backup needs.
- Help maintain accurate records and renewal calendars for private entities, properties, vehicles, vessels, insurance, memberships, and other assets as assigned.
Relationships, Events & Special Projects
- Act as a central liaison among the Principal, executive leadership, portfolio‑company teams, family‑office and household personnel, advisors, business partners, and external stakeholders.
- Learn the Principal's businesses, assets, relationships, preferences, and priorities well enough to route matters intelligently and preserve context.
- Drive special projects, philanthropic activities, charitable relationships, and business, family, and social events with excellent planning and follow‑through.
What We're Looking For:
- Seven or more years supporting a founder, CEO, entrepreneur, family‑office principal, high‑net‑worth individual, or similarly demanding executive; exceptional candidates with at least five years of directly relevant experience may be considered.
- Demonstrated success managing complex calendars, communications, competing priorities, and domestic and international travel in a high‑velocity environment. Family‑office, private‑aviation, luxury‑travel, household, real‑estate, hospitality, vessel, or complex‑asset experience is strongly preferred.
- Exceptional written and verbal communication, executive correspondence, research, and concise synthesis skills.
- Meaningful hands‑on use of AI, meeting‑intelligence, task‑management, knowledge‑management, and productivity platforms to improve real workflows, plus advanced proficiency with Microsoft 365.
- Strong project‑management, organizational, and problem‑solving capability, with a bias toward ownership and closure and proven discretion with highly sensitive information.
- Bachelor's degree preferred; equivalent relevant experience considered. Must work primarily in person in Jupiter, provide reasonable flexibility for urgent matters, and travel occasionally.

This is a full‑time, primarily in‑person role based in Jupiter, Florida, with reasonable flexibility for travel or urgent matters. Compensation is competitive and commensurate with experience; benefit details will be shared during the recruiting process.
