POSITION: Executive Assistant to the CEO
LOCATION: Stamford, CT (in office 4-5 days per week)
HOURS: 7:00AM-3:00PM with flexibility as needed
COMPENSATION: $130-140K (DOE) + Discretionary Bonus
BACHELOR'S DEGREE: Preferred
Our client is seeking an Executive Administrative Assistant to provide both strategic and operational support for the CEO, as well as secondary support to the leadership team. The EA will enable the CEO to operate efficiently and effectively by providing seamless coverage and support for day-to-day administrative tasks and managing various team initiatives, processes, and other activities. This role will maintain a high level of professionalism in acting as a gatekeeper and coordinator, enforcing compliance in expense reporting, scheduling, and information flow. The ideal candidate will be a career administrative professional with a background in financial services.
Responsibilities of the Executive Assistant:
- Anticipate executive needs and proactively manage priorities and communications.
- Coordinate complex domestic and international travel, including flights, and accommodation.
- Manage complex, overlapping, and fast-changing calendars for CEO and other senior team members, including scheduling, prioritizing, and mitigating conflicts.
- Draft, edit, and proofread high-level correspondence, board presentations, and monthly reports.
- Prepare executive-level summaries, reports, and updates as needed.
- Maintains confidential files, handles mail and records, coordinates and manages the calendars for Senior Staff members as required.
- Handles agendas, arrangements, and coordinates efforts with administrative and office services functions for senior staff meetings and other events, including:
- Off-site Board of Directors and management meetings
- Quarterly meetings and other special events
- Processes expense accounts for CEO and select members of the Senior Management team, as required.
- Special projects as requested or required.
- Support general office management activities including but not limited to ordering office supplies, handling deliveries and mail, stocking the kitchen and common areas.
Requirements of the Executive Assistant:
- 7- 10+ years of proven experience supporting senior executives in a strategic or operational capacity. (Preferably within Financial Services Industry)
- Expert in attention to detail and technical proficiency skills with senior leadership.
- Strong project management and organizational skills.
- Ability to work independently and handle confidential information with discretion.
- Experience in a fast-paced, global organization preferred.
- Excellent with Microsoft Word, Outlook, Power Point, OneDrive, SharePoint; at least basic Excel knowledge.
