Job description

Executive Assistant to Chief Executive Officer

Caddy Moving is America's fastest-growing on-demand moving labor company, specializing in professional loading, unloading, packing, and lifting services without the trucks. Founded in 2021, we operate in over 75 cities across the United States, delivering same‑day and next‑day moving help with transparent pricing, vetted movers, and exceptional customer experiences. We're on a mission to make moving stress‑free, affordable, and reliable.

The Role

As Executive Assistant to the CEO, you'll be the ultimate gatekeeper and organizational powerhouse—managing my time, priorities, and communications so I can focus on driving strategic growth. This is a high-impact role where you'll act as my right hand, handling everything from calendar management to project coordination in a fast-paced environment.

Key Responsibilities
  • Ruthlessly manage the CEO's calendar: prioritize high-impact meetings, block focus time, filter requests, and prepare agendas/briefs.
  • Serve as the primary point of contact: handle inbound emails, calls, and inquiries; draft responses; and ensure smooth internal/external communication.
  • Track and follow up on key projects: chase action items from meetings, coordinate with team members, compile status updates, and help remove blockers.
  • Provide operational support: arrange travel/logistics, manage expenses, conduct light research, take meeting notes, and suggest process improvements.
  • Maintain confidentiality and discretion while building strong relationships across the team.
What We're Looking For
  • 2-5 years of experience as an Executive Assistant, Administrative Coordinator, or similar role (experience supporting executives or in small/growing companies is a plus).
  • Exceptional organizational skills and attention to detail—you thrive on keeping things structured in a dynamic setting.
  • Proactive mindset: anticipate needs, solve problems independently, and communicate clearly and professionally.
  • Proficiency in tools like Google Workspace/Microsoft Office, calendar apps, and project management software (e.g., Monday, Notion).
  • High emotional intelligence, discretion with sensitive information, and a positive, can-do attitude.
  • Opportunity for growth as the company scales—this role could evolve with added responsibilities and compensation.

If you're organized, proactive, and excited to make a real difference in a growing company, we'd love to hear from you! Apply with your resume and a brief note on why this role fits you.
