Overview
Attorney with multiple operating businesses and real estate investments seeks an experienced, highly trusted Executive Assistant to act as a force multiplier. The principal moves fast, thinks ahead, and makes decisions quickly. He needs someone who can anticipate, plan, and promote measured alignment amongst competing priorities.
This is a critical role focused on shielding the CEO’s time, filtering noise, and ensuring follow-through across businesses. The right person brings calm, structure, and judgment to a high-volume, high-stakes environment.
Requirements
- BA/BS from US college or equivalent
- Minimum 4 years’ experience as an Executive Assistant, Personal Assistant, or in an Operations role supporting a founder or high-level executive
- Tech-savvy, with experience using calendars, CRM and project management tools, MS Office Suite, Excel, PowerPoint and Google Workspace
- Experience in UHNW environments
- Excellent written and interpersonal communication skills
- Highly organized, detail-oriented, and intuitively proactive
- Superior time and project management capabilities
- Valid driver’s license and comfort being in the field
- Availability for occasional travel
Responsibilities
- Manage email, text, and voicemail across accounts
- Triage communications, draft authorized responses, and escalate high-value and time-sensitive matters
- Own and protect the CEO’s calendar across multiple businesses
- Enforce meeting discipline, prevent over-scheduling, and proactively block focus time
- Coordinate daily and multi-day travel with detailed itineraries
- Coordinate with operations, finance, HR, and office managers across entities
- Track commitments and action items across meetings and communications
- Prepare agendas, capture notes and action items, distribute summaries, and track accountability
- Maintain task lists, follow up with stakeholders, and ensure closure
- Serve as administrative liaison with banks and financial institutions
- Coordinate documents and prepare signature packets
- Organize contracts, agreements, and key business documents for fast retrieval
- Securely manage passwords, logins, and access permissions using approved tools
- Maintain strict confidentiality and security standards
- Standardize processes and ensure information flows efficiently
- Drive principal and maintain company vehicles
