Hannibal Regional Healthcare System in Hannibal, MO is seeking an experienced executive assistant to provide administrative support to the Vice Presidents of Human Resources and Finance. You will manage calendars, travel arrangements, prepare communications, and coordinate projects with discretion and professionalism.

The role requires an associate or bachelor's degree and at least five years in executive support; proficiency in Word, Outlook, PowerPoint and Excel; strong organizational skills

Qualifications

  • Associate or bachelor's degree preferred in business, healthcare, communications, hospitality or related field.
  • Minimum of five years of progressively responsible administrative or executive support experience preferred.
  • Proficiency in Word, PowerPoint, Outlook and Excel required; including complex spreadsheets.
  • Knowledge of filing & office systems and ability to demonstrate proper English, spelling and grammar.
  • Ability to greet and serve visitors in a manner conducive to positive customer relations.
  • Ability to manage multiple priorities and deadlines with a high degree of accuracy.
  • Ability to anticipate needs and work proactively with limited direction.
  • Strong organizational skills with the ability to handle multiple projects and priorities simultaneously.
  • Exceptional customer relation and communication skills across all levels of the organization.
  • Demonstrated ability to exercise sound judgment and maintain confidentiality.
  • Demonstrated ability to maintain strict confidentiality when handling sensitive information.

Responsibilities

  • Provides administrative and executive support to the Vice President, Human Resources and Vice President, Finance.
  • Coordinates calendars, meetings, communications, projects, travel, documentation, and other administrative functions.
  • Maintains professionalism, organization, accuracy, discretion, and confidentiality.
  • Serves as a key administrative resource for the executive leadership team and collaborates with other administrative staff to ensure effective operations.
  • Ensures effective and efficient operations across executive support functions.
