The ideal candidate is proactive, resourceful, and comfortable working in a fast-paced environment where priorities can shift quickly. This role requires sound judgment, discretion, strong communication skills, and a willingness to go above and beyond when business demands require additional time or flexibility.

Key Responsibilities
  • Calendar Management: Manage the CEO’s calendar, schedule meetings, coordinate appointments, and proactively resolve scheduling conflicts.

  • Travel Coordination: Arrange domestic and international travel as needed, including flights, hotels, ground transportation, and detailed itineraries.

  • Executive Support: Assist with daily priorities, meeting preparation, correspondence, document preparation, and follow-up on outstanding items.

  • Communication & Coordination: Serve as a professional point of contact for internal team members, clients, vendors, and other business contacts.

  • Meeting Support: Coordinate meetings, prepare materials, document action items, and follow up to ensure deadlines and commitments are met.

  • Administrative Operations: Handle confidential information, maintain organized records, manage special projects, and assist with other duties as delegated by the CEO.

  • Proactive Problem-Solving: Anticipate needs, identify potential scheduling or logistical issues, and take initiative to resolve them before they become problems.

  • Flexibility & Availability: Be willing to work beyond normal business hours occasionally when travel, urgent business matters, or the CEO’s schedule requires additional support.

Qualifications

  • Ability to handle confidential and sensitive information with discretion.

  • Strong judgment, initiative, and the ability to work independently with minimal direction.

  • A flexible, solutions-oriented mindset and willingness to adapt to changing business needs.

  • Professional demeanor and the confidence to communicate directly and effectively with executive leadership.
