Job description

A premier, globally recognized hedge fund is seeking a polished, high-energy, and deeply proactive Executive Assistant to support the CEO of a newly launched division of the firm and their growing team in New York City.

This is a newly created role that offers the perfect professional blend: the rock-solid structure, prestige, and premium benefits of a top-tier investment firm, combined with the dynamic, entrepreneurial excitement of helping build a division from the ground up.

  • Compensation: $125,000 – $160,000 base salary (commensurate with experience) + generous discretionary bonus
  • Location: Midtown West, NYC (Fully Onsite, Monday – Friday)
  • Flexibility for one-off remote work when life happens (e.g., medical appointments).
  • Hours: Standard business hours (approx. 8:30 AM/9:00 AM – 5:30 PM/6:00 PM) with a "trust-based" culture—not chained to a desk, but requires a 24/7 mentality for occasional urgent or time-sensitive matters.
  • Fully company-covered excellent healthcare and benefits packages.
  • 401(k) with 3% company contribution.
  • 15 days of paid vacation + sick days + 2 paid volunteer days (vacation scales to 18 days after 2 years).
  • Complimentary daily meals, premium snacks, and office perks.
Key Responsibilities

As the primary gatekeeper and strategic partner to the CEO, you will manage complex daily operations and anticipate needs before they arise.

  • Advanced Calendar Management: Proactively manage dense and ever-changing calendars via Outlook. Look "around corners" to identify gaps, resolve overlaps, and seamlessly align schedule changes with shifting business priorities.
  • Global Travel Coordination: Plan and execute complex, multi-leg domestic and international travel itineraries (with a heavy emphasis on travel to Asia), ensuring seamless logistics from end to end.
  • Team Support: Act as the primary administrative anchor for the executive's current team of four. As the division scales, you will help integrate future administrative support to keep workloads balanced.
  • Operational Excellence: Handle comprehensive expense reconciliation, manage incoming correspondence, coordinate meetings, answer phones, and prepare high-level meeting materials (e.g., binding presentation books).
  • Cross-Firm Collaboration: Partner closely with the broader administrative and EA network across the firm. Maintain a "no job too small" attitude to ensure overall operational success.
Qualifications & Key Attributes

We are seeking an ambitious, high-caliber professional who thrives in a fast-paced, high-standards financial environment.

  • Experience: 7+ years of relevant Executive Assistant experience within finance or alternative asset management (Hedge Fund, Private Equity, Investment Banking).
  • Technical Skills: Elite proficiency in Microsoft Office, particularly advanced Outlook calendar and email management.
  • Mindset: An "athlete" mentality—highly energetic, ambitious, deeply proactive, and an exceptional natural problem solver.
  • Education: Bachelor’s degree preferred, but not required.
  • Professionalism: Impeccable polish, discretion, and communication skills.
  • References: Must be able to provide strong professional references from previous direct supervisors.
