Job description

Intuit’s People & Places (P&P) organization is seeking an experienced Executive Assistant Business Partner 2 (EABP 2) to provide high-level administrative and operational support to two Vice President and two Directors within the HRBP organization. This role is critical to ensuring the smooth, efficient operation of a fast-paced executive office, and requires a proactive, detail-oriented professional who can manage competing priorities, exercise sound judgment, and represent the leadership team with professionalism and discretion.

The EABP 2 partners closely with senior leaders to drive calendar strategy, communications, and operational rhythms, while also serving as a connector across the broader P&P EABP community — collaborating with peer EABPs to share best practices, coordinate cross-functional logistics, and support Intuit’s culture.

This role requires someone who can operate with a high degree of independence, anticipate needs before they arise, and build trusted, collaborative relationships with executives, their teams, and cross-functional stakeholders.

Responsibilities

Executive & Calendar Support

  • Manage complex, high-volume calendars for two VP and two Directors, proactively resolving conflicts and prioritizing time based on business-critical needs
  • Coordinate and schedule recurring leadership rhythms (staff meetings, 1:1s, skip-levels, business reviews) across multiple time zones and organizations
  • Monitor calendars for gaps, double-bookings, or missing attendees, and flag/resolve issues before they impact leaders’ days

Travel & Logistics

  • Arrange complex domestic (and occasional international) travel, including flights, hotels, ground transportation, and visas/itineraries as needed
  • Proactively troubleshoot travel disruptions and liaise with travel coordinators and booking tools (e.g., Concur/AMEX) to resolve issues quickly
  • Prepare detailed itineraries and ensure leaders are equipped for travel with all necessary materials

Communications & Content

  • Draft, proofread, and polish internal communications, emails, and presentation materials on behalf of the leaders supported
  • Prepare talking points, briefing documents, and agendas for staff meetings, offsites, and leadership forums
  • Support newsletter, Slack, or other community communications for the broader organization as needed

Meeting & Event Coordination

  • Plan and execute team meetings, offsites, and events — including venue selection, catering, swag, and logistics
  • Take and distribute meeting notes/action items for key leadership and governance meetings as needed
  • Partner with other EABPs and business partners to coordinate cross-org events and staff meetings

Operational & Project Support

  • Support org design, staffing, and headcount tracking activities in partnership with HRBP leadership
  • Assist with budget tracking, expense reports, and purchase order processing
  • Maintain accurate records for org charts, distribution lists, and succession/talent data as needed
  • Lead or contribute to special projects as assigned (e.g., onboarding new hires, process improvement initiatives)

Community & Collaboration

  • Serve as an active member of the P&P EABP community, sharing knowledge, backup coverage, and best practices with peer EABPs
  • Build strong working relationships with other EABPs, HRBPs, and cross-functional partners (Finance, Legal, IT, Places) to ensure seamless execution
  • Model Intuit’s company values and contribute to a positive, inclusive team culture

  • High degree of discretion and sound judgment in handling confidential and sensitive information
  • Proficiency in Microsoft Outlook, Google Workspace, and standard office productivity tools (Word, Excel, PowerPoint/Slides)
  • Experience coordinating domestic travel logistics and resolving travel disruptions
