Job summary

Behavioral Health Network, Inc. is seeking an Executive Assistant to provide high-level administrative and operational support to the CEO and leadership team in Massachusetts.

The role coordinates governance records, meetings, and day-to-day corporate office functions while interfacing with programs and departments. This position supports contract review, policy administration, and serves as a liaison across the organization to ensure effective communication, scheduling, and project delivery.

Responsibilities

  • Manage complex calendars and schedule meetings for the CEO, Executive Leadership Team, and Board of Directors.
  • Prepare agendas, presentations, supporting documents, and other materials while coordinating meeting logistics.
  • Record, organize, and maintain meeting minutes, documents, governance materials, and other official organizational records.
  • Oversee the day-to-day functions of the corporate office, including direct supervision of the Corporate Office Manager.
  • Review and prepare documentation and contracts for executive approval and partner with legal counsel to coordinate review, tracking, and follow-through.
  • Oversee the storage, updating, maintenance, and accessibility of BHN organizational policies and procedures.
  • Serve as a liaison among executive leadership, programs, and departments to support clear communication, timely responses, and effective coordination.
  • Coordinate executive and Board travel, meetings, and conference arrangements.
  • Prepare and organize essential documents and supporting materials for auditors.
  • Safeguard confidential and sensitive organizational, personnel, legal, and governance information with sound judgment and discretion.
  • Lead and support special projects, executive priorities, and time-sensitive assignments as needed.
  • Manage competing priorities, frequent interruptions, and urgent requests while maintaining accuracy and reliable follow-through.

We are seeking an Executive Assistant to provide high-level administrative and operational support to the CEO, Executive Leadership Team, and Board of Directors. This trusted role coordinates complex meetings and governance records, oversees day-to-day corporate office functions, supports contract review and policy administration, and serves as a liaison across programs and departments.

What You Will Do:

Who You Are:

  • High School Diploma or GED required.
  • At least three years of office-administration experience, including prior experience supporting executive leaders.
  • Experience supporting Boards, executive meetings, governance processes, or corporate-office operations is strongly preferred.
  • Background working with contracts, legal documentation, or legal counsel is preferred.
  • Exceptional written and verbal communication skills, with the ability to prepare accurate, professional documents and communicate effectively with diverse stakeholders.
  • Excellent organization, time management, attention to detail, and the ability to manage multiple priorities and urgent needs.
  • Strong interpersonal, teamwork, and relationship-building skills, with a commitment to culturally responsive and respectful communication.
  • Proficiency with Microsoft Office 365 and comfort learning and using evolving technology and communication systems.
  • Proactive, self-directed, and able to work independently while recognizing when consultation, coordination, or escalation is appropriate.
  • Demonstrated discretion, sound judgment, reliability, and the ability to maintain confidentiality in a fast-paced executive environment.
  • Ability to supervise assigned staff, work from BHN’s Corporate Office, travel occasionally for meetings or organizational needs, and lift or carry office materials weighing up to five pounds.
