Job summary

Behavioral Health Network, Inc. is seeking an Administrative Assistant to support our Mobile Crisis Intervention (MCI) team and advance our mission of empowering individuals and communities in Western Massachusetts.

You will provide administrative and project support, enter data, and help ensure accurate records across program locations. The role requires 1–2 years in an administrative setting, strong MS Office proficiency, excellent organizational and customer-service skills, and the ability to

  • 1–2 years of experience in an administrative or clerical office setting required; healthcare, behavioral health, or human services preferred.
  • Working knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

Responsibilities

  • Provide coordinated administrative and project support to BHN's Mobile Crisis Intervention (MCI) programs.
  • Run routine reports, monitor schedules, track assignments, and assist with data analysis and other administrative projects.
  • Accurately enter, update, and verify information in agency software systems; maintain organized filing systems.
  • Protect confidentiality and security of sensitive information per agency requirements.
  • Coordinate and organize meetings, calendars, materials, and communications to support program operations.

What You Will Do:

  • Provide coordinated administrative and project support to BHN's MCI programs, helping teams operate efficiently and deliver a positive experience for individuals, families, staff, and community partners.
  • Run routine reports, monitor schedules, track assignments, and assist with data analysis and other administrative projects as requested by program leadership.
  • Accurately enter, update, and verify information in agency software systems, identifying discrepancies and assisting with timely problem resolution.
  • Maintain organized electronic and paper filing systems for program documents, records, correspondence, and other materials.
  • Protect the confidentiality and security of sensitive individual, employee, and organizational information in accordance with agency requirements.
  • Coordinate and organize meetings, calendars, materials, and related communications to support program operations and follow-through.
  • Monitor and distribute program mail and shared email communications, make telephone calls as needed, and route requests to the appropriate team members.
  • Use office technology and equipment effectively, including computers, printers, scanners, copiers, and agency communication systems.
  • Manage multiple time-sensitive priorities in an organized, dependable, and efficient manner while adapting to changing program needs and frequent interruptions.
  • Provide responsive customer service and collaborate with colleagues across locations, completing additional administrative assignments as directed.

Who You Are:

  • High school diploma or GED required.
  • At least one to two years of experience in an administrative or clerical office setting required; experience in healthcare, behavioral health, or human services preferred.
  • Working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, with the ability to learn additional software systems as needed.
  • Strong organizational and time-management skills, including the ability to prioritize assignments, manage multiple deadlines, and respond effectively to urgent needs.
  • Excellent interpersonal, customer-service, verbal, and written communication skills.
  • Strong attention to detail and the ability to enter data, maintain records, prepare reports, and identify discrepancies accurately.
  • Ability to work independently with appropriate self-direction while also collaborating effectively with teams of varying sizes and diverse backgrounds.
  • Ability to maintain confidentiality, exercise sound judgment, accept feedback, and demonstrate flexibility in a high-demand office environment.
  • Ability to meet the physical requirements of the role, including regular sitting, standing, walking, computer use, and occasional lifting of office materials up to 25 pounds, with or without reasonable accommodation.
