They are seeking an experienced Executive Assistant to support a founding partner and serve as a trusted right hand in a fast-paced, relationship-driven professional services environment. This role will provide high-level administrative support while helping manage priorities, communications, appointments, and day-to-day responsibilities.
The ideal candidate is mature, highly organized, self-motivated, and proactive, with the ability to anticipate needs, solve problems independently, and confidently manage competing priorities. This individual should communicate clearly and professionally, build positive relationships with high-net-worth clients, and navigate a variety of personalities with discretion and diplomacy.
Key Responsibilities
- Provide direct executive and administrative support to the founding partner, with approximately 75% of the role focused on supporting him directly.
- Manage the partner's calendar, including scheduling, confirming appointments, and coordinating logistics.
- Communicate professionally and clearly with clients and other contacts on the partner's behalf, including phone communications.
- Gather and organize documents and information needed for meetings and appointments.
- Coordinate documents requiring signatures, track outstanding items, and follow up to ensure timely completion.
- Prepare basic spreadsheets, correspondence, and other administrative materials as needed.
- Provide general administrative and logistical support across the office.
- Anticipate needs, identify potential issues, and proactively develop solutions without waiting for direction.
- Keep priorities organized, manage multiple tasks efficiently, and ensure important deadlines and follow-ups are not overlooked.
- Navigate strong personalities and diverse client needs with professionalism, discretion, and diplomacy.
- Support the team during tax-season deadlines, including working occasional Saturdays during busy periods in March/April and September/October.
What We're Looking For
- Seasoned Executive Assistant with extensive experience supporting senior executives, partners, or other high-level leaders; 10+ years of EA experience preferred.
- Highly self-motivated, proactive, and solutions-oriented, with the ability to think ahead and take initiative.
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities efficiently.
- Excellent verbal and written communication skills, including clear, professional phone communication with high-net-worth clients.
- Professional presentation and the ability to represent the founding partner and firm appropriately.
- Strong interpersonal skills, sound judgment, and the ability to manage different personalities with tact and diplomacy.
- Confident enough to follow up, respectfully redirect conversations when appropriate, and keep tasks moving forward.
- Proficiency in Microsoft Office, including Word, Excel, and Teams.
- Willingness to work occasional Saturdays during tax-season busy periods in March/April and September/October.
- Accounting or professional services experience is a plus, but not required.
