Position Overview

The Executive Assistant will be responsible for coordinating activities (operations and planning) and ensuring the timely flow of information to and from the Executive office. This role handles highly confidential and critical details and must operate efficiently and effectively in a fast-paced professional environment. The ideal candidate will be dynamic, organized, high-energy, and capable of supporting cross-functional coordination, with excellent judgment. Availability during regular business hours and occasionally evenings/weekends is required, depending on the Executive's travel schedule.

Responsibilities
  1. Manage external contacts for the Executive, understanding their priority and maintaining communication.
  2. Anticipate the Executive's needs and proactively coordinate resources and support.
  3. Prepare agendas, assist with research, develop content, create presentations, and coordinate meetings.
  4. Manage the Executive's daily schedule, ensuring 24-hour awareness and punctuality.
  5. Develop systems to alert upcoming deadlines and handle correspondence and reports.
  6. Coordinate travel arrangements, visas, agendas, and necessary preparations for trips.
  7. Prepare for internal department meetings, including tracking action items, drafting agendas, and producing minutes.
  8. Order equipment, support onboarding, and manage office activities as needed.
  9. Handle confidential information with discretion and maintain administrative tasks efficiently.
  10. Represent the Executive externally as directed, process invoices, and manage expenses.
  11. Complete special projects as assigned.
Key Skills, Requirements, and Competencies
  • Bachelor’s degree or equivalent experience.
  • Minimum 5 years supporting C-level or SVP executives.
  • Ability to handle confidential information professionally.
  • Proficiency in Word, Excel, PowerPoint, and databases.
  • Experience in preparing presentations and excellent communication skills.
  • Ability to manage multiple priorities efficiently.
  • Professional demeanor with strong interpersonal skills and good judgment.
  • Ability to work independently and collaboratively.
  • Experience in an international environment is a plus.
  • Flexibility to provide after-hours support as needed.

Reasonably expected salary range: $76,500 - $95,600. Category: Administrative Services
