Reserv is an incubating cutting-edge AI and automation technology focused on bringing efficiency and simplicity to insurance claims by redefining claims adjusting. Founded by insurtech veterans with deep experience in SaaS and digital claims – and venture-backed by Bain Capital and Altai Ventures – Reserv began operations in May 2022 and has rapidly expanded.

About the Role

The Executive Assistant at Reserv is a force-multiplier role focused on bringing tremendous leverage to four key stakeholders – the CEO, COO, VP of Growth, and VP of Strategy – to maximize those stakeholders’ effectiveness. The EA will do so in two primary ways: (1) effective calendar management as the gatekeeper-in-the-know who is able to rapidly reconfigure stakeholders’ calendars as Reserv priorities and needs shift, and (2) assistance in the stakeholders’ personal lives to enable all four stakeholders to maximize the undivided attention they provide to the company.

What we need
  • Reserv anticipates a focus split of ~80% CEO and COO and 20% VP of Growth and VP of Strategy
  • Heavy calendar management for the CEO and COO
    • Develop and maintaining a prioritized understanding of the CxOs calendars: what calendar blocks cannot be moved, what can but shouldn’t be, what can always be moved, etc
    • Looking weeks ahead to avoid last-minute conflicts and cancellations
    • Handling daily scheduling requests by the CxOs or by others seeking to grab time with the CxOs and confirming the priority level of each meeting requested
    • Booking hotels & flights for both CxOs to coordinate travel
  • Light calendar management for the VP of Growth and the VP of Strategy
    • Assist both with calendaring with outside parties and when either VP is trying to organize calls with large number of participants
    • Generally, both VPs otherwise schedule their own meetings and manage their own calendars
  • Personal assistance to all four stakeholders’ personal lives in order to free up stakeholders to focus on Reserv work. Some typical examples may include:
    • Calendar management of personal obligations that need to occur during and around work meetings (doctor’s appointments, scheduling a home repair, calling a school to let them know of a late pick-up, arranging a pick-up)
    • Returning calls or finding information on time-sensitive topics
  • Close communication with your Executives via email, slack, text, and phone calls
Requirements

Who you are

  • Work experience: 7+ years total experience as an executive assistant with:
  • At least 3 years working directly with C-suite and C-suite equivalent stakeholders (CEO / COO / CFO; Managing Partner at consulting firms, law firms or banks)
  • Experience working supporting a group of stakeholders (e.g., primary senior stakeholders and 1-2 junior stakeholders)
  • Proficiency with modern productivity tech stack: Microsoft Office, Google’s G-Suite
  • Willingness to work US East Coast hours (CxOs are both most frequently located in Eastern or Central time)
