Qualifications

Responsibilities

  • Manage and maintain complex executive calendars, including meetings and commitments.
  • Coordinate internal and external meetings, agendas, materials, and rooms.
  • Serve as a professional point of contact for executives and stakeholders.
  • Draft, proofread, and manage correspondence, presentations, and reports.
  • Coordinate domestic and international travel arrangements and itineraries.
  • Prepare meeting agendas and briefing materials for executive meetings.
  • Track deadlines, follow-ups, projects, and commitments.
  • Assist with expense reports, invoices, and purchasing.
  • Coordinate executive events and special projects.
  • Conduct research and prepare summaries or reports as requested.
  • Prioritize requests and ensure timely attention to important matters.

Job description

We are seeking a highly organized, proactive, and professional Executive Assistant to provide high-level administrative and operational support to senior leadership. The Executive Assistant will help manage the executive's schedule, communications, meetings, travel, documents, and day-to-day priorities while maintaining a high level of confidentiality and professionalism.

This is a full-time position offering $65,000–$85,000 per year, depending on experience, organizational skills, industry experience, and qualifications. Candidates with significant experience supporting C-suite executives, managing complex calendars, coordinating executive travel, and handling confidential information may be considered toward the upper end of the compensation range.

The ideal candidate is exceptionally organized, anticipates needs before they arise, communicates clearly, exercises sound judgment, and can manage multiple priorities in a fast-paced environment.

Key Responsibilities
  • Manage and maintain complex executive calendars, including scheduling meetings, appointments, and commitments.
  • Coordinate internal and external meetings, including agendas, materials, meeting rooms, and follow-up actions.
  • Serve as a professional point of contact for executives, clients, partners, vendors, and other stakeholders.
  • Draft, proofread, and manage correspondence, presentations, reports, and other executive documents.
  • Coordinate domestic and international travel arrangements, including flights, hotels, transportation, and itineraries.
  • Prepare meeting agendas, briefing materials, and notes for executive meetings.
  • Track important deadlines, follow-ups, projects, and commitments.
  • Manage confidential and sensitive information with discretion.
  • Assist with expense reports, invoices, purchasing, and other administrative responsibilities.
  • Coordinate executive events, company meetings, off-site meetings, and special projects.
  • Conduct research and prepare summaries or reports as requested.
  • Help prioritize incoming requests and ensure important matters receive timely attention.
  • Work closely with leadership and other departments to facilitate communication and execution of priorities.
  • Identify opportunities to improve administrative processes and organizational efficiency.
  • Handle other administrative and special projects as assigned.
Qualifications
Required
  • 3+ years of experience as an Executive Assistant, Senior Administrative Assistant, or similar role.
  • Excellent organizational and time-management skills.
  • Exceptional written and verbal communication skills.
  • Strong proficiency with Microsoft Office or Google Workspace.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Strong attention to detail and follow-through.
  • Professional judgment and ability to work independently.
  • Ability to handle confidential and sensitive information appropriately.
  • Strong interpersonal skills and a professional presence.
Preferred
  • Experience supporting a CEO, President, Founder, or other C-suite executive.
  • Experience managing complex calendars and frequent travel.
  • Experience working in a fast-paced corporate, technology, finance, consulting, or professional-services environment.
  • Familiarity with project-management and collaboration tools such as Slack, Asana, Monday.com, Notion, or similar platforms.
  • Experience preparing executive presentations and reports.
  • Experience coordinating company events and executive meetings.
  • Bachelor's degree or equivalent professional experience.
Compensation & Benefits

The compensation for this position is $65,000–$85,000 per year, depending on experience, executive-support experience, technical proficiency, and overall qualifications.

Candidates with extensive C-suite experience, strong project-management capabilities, and experience handling complex executive responsibilities may be considered toward the upper end of the range.
