About The Role
The role is the operational anchor for a senior technology executive, running calendars, travel, communications, and meeting logistics in a fast-moving, hybrid environment.
This is a high-trust position with real leverage: the right person anticipates needs before they surface, shields focus time ruthlessly, and keeps the executive's commitments and the team's rhythm on track week after week.
Key Responsibilities
- Manage complex multi-timezone calendars in Google Workspace, resolving conflicts and protecting deep-work blocks proactively
- Book and optimize domestic and international travel, handling visas, expenses, and itinerary changes through tools like Navan or TravelPerk
- Prepare executives for meetings with agendas, pre-reads, and briefing docs; track follow-ups and action items to closure
- Own expense reporting and approvals in Concur or Expensify, reconciling monthly with zero errors
- Plan and execute offsites, board meetings, and team events end-to-end, including vendors, budgets, and logistics
- Triage and draft correspondence across email and Slack, escalating what matters and handling sensitive material with discretion
- Maintain and improve team documentation, onboarding materials, and recurring processes in Notion or Confluence
What We Are Looking For
- 3-6 years supporting executives in technology or high-growth environments
- Expert-level proficiency with Google Workspace, Slack, Zoom, and expense/travel platforms
- Demonstrated discretion and judgment handling confidential and sensitive information
- Exceptional written communication - able to draft clean, professional correspondence on the executive's behalf
- Track record of juggling competing priorities across multiple stakeholders without dropping details
- Experience coordinating events or offsites with budgets of $10K+
- Bonus: experience supporting a founder or C-level exec, familiarity with Notion/Asana, or a background in office management
