About The Role
The role is the operational anchor for a senior executive in a fast-moving technology company: owning calendars, travel, communications, and cross-team coordination so leadership can focus on strategy and execution.
This is a high-visibility, high-trust position. The assistant will work across departments, interface with external partners and board members, and keep a demanding schedule running smoothly in a hybrid environment.
Key Responsibilities
- Manage complex, rapidly changing calendars across multiple time zones, prioritizing ruthlessly and protecting focus time
- Coordinate domestic and international travel, including flights, hotels, ground transport, and detailed trip itineraries
- Prepare meeting agendas, take notes where needed, and track follow-up items to completion across Slack, email, and Asana
- Screen and draft correspondence, handle confidential materials with discretion, and serve as a professional point of contact for internal and external stakeholders
- Plan and execute team offsites, all-hands, and executive events end-to-end, from vendor selection to on-site logistics
- Own expense reporting, invoice tracking, and vendor management with attention to accuracy and deadlines
- Anticipate needs and proactively solve problems before they land on the executive's plate
What We Are Looking For
- 3-6 years of executive assistant or office coordination experience, ideally supporting C-level leadership in tech or another fast-paced environment
- Expert-level proficiency with Google Workspace, Slack, Zoom, and expense/travel platforms (Expensify, Navan, or similar)
- Strong written and verbal communication with sound judgment on tone, urgency, and confidentiality
- Demonstrated ability to juggle competing priorities and stay composed under pressure
- Experience planning multi-day offsites or large internal events
- Bachelor's degree or equivalent practical experience
- Bonus: experience supporting founders or executives during fundraising/board cycles; familiarity with Notion or other internal knowledge tools
