  • Manage communications: organize inbox, flag important messages, draft responses, track conversations for follow-up.
  • Keep commitments moving: record actions, owners, deadlines, and follow up to flag delays.
  • Prepare for meetings: gather context, prepare briefs, ensure materials are ready, capture decisions and next steps.
  • Arrange travel: coordinate flights, hotels, transport, itineraries across time zones, handle changes.
  • Coordinate logistics: organize customer visits, interviews, team events, and CEO-facing activities.
  • Handle administration: manage expenses, documents, and records with discretion.
  • Improve how we work: build simple systems to reduce repeated work and show outstanding items.

Job description

We’re hiring an Executive Assistant to work directly with our CEO and keep the day-to-day running smoothly. You will own scheduling, travel, meeting preparation, and follow-ups, making sure the CEO’s time goes toward the things that matter most.

We want someone who notices what needs doing, takes ownership, and sees it through. You should be comfortable with changing priorities, communicate clearly, and have excellent judgment about what to handle yourself and what to escape.

What you’ll do
  • Own the CEO’s calendar. Prioritize meetings, resolve conflicts, protect focused work time, and make sure the schedule reflects the company’s priorities.
  • Manage communications. Organize the inbox, flag important messages, draft responses, and track conversations that need follow-up.
  • Keep commitments moving. Maintain a clear record of actions, owners, and deadlines. Follow up with the right people and flag delays before they become problems.
  • Prepare for meetings. Gather relevant context, prepare concise briefs, and make sure materials are ready. Capture decisions and next steps when needed.
  • Arrange travel. Coordinate flights, hotels, transport, and itineraries across time zones. Handle changes quickly and pay attention to the details.
  • Coordinate logistics. Organize customer visits, interviews, team events, and other activities involving the CEO.
  • Handle administration. Keep expenses, documents, and records organized, and treat sensitive information with discretion.
  • Improve how we work. Build simple systems that reduce repeated work and make it easy to see what is outstanding.

  • The ability to coordinate across time zones and adapt when plans change.
