Qualifications

  • 5+ years of executive assistant experience.
  • Associate degree or higher.
  • Experience supporting senior executives (VP/SVP/C-suite).
  • Strong calendar management and scheduling experience.
  • Experience coordinating executive travel and meetings.
  • Experience supporting special projects and preparing reports/presentations.
  • Strong minute-taking and action-item follow-up skills.
  • Advanced proficiency with MS Outlook, Word, Excel, and PowerPoint.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills and meticulous attention to detail.
  • Ability to manage multiple priorities independently.
  • High level of professionalism, discretion, judgment, and confidentiality.

Job description

We are seeking a highly organized, polished, and proactive Executive Assistant to provide high-level administrative and project support to senior leadership. This individual will manage complex calendars, coordinate travel and meetings, support special projects, and serve as a trusted point of contact across departments.

The ideal candidate will be comfortable working in a fast-paced, confidential environment and will demonstrate excellent judgment, communication, attention to detail, and the ability to independently manage competing priorities.

Key Responsibilities
  • Provide comprehensive administrative and personal support to senior leadership.
  • Manage complex executive calendars, meetings, appointments, travel, and organizational events.
  • Coordinate domestic and international travel arrangements, itineraries, and related logistics.
  • Support special projects through research, documentation, reporting, presentations, and data analysis.
  • Independently prioritize multiple assignments and maintain ownership through completion.
  • Attend executive and departmental meetings, prepare accurate meeting minutes, and track action items.
  • Coordinate communication and information flow between executives, departments, and internal/external stakeholders.
  • Prepare presentations, reports, correspondence, spreadsheets, and other executive-level materials.
  • Handle confidential and sensitive information with a high degree of professionalism and discretion.
  • Anticipate executive needs and proactively resolve scheduling and administrative issues.
Qualifications
  • 5+ years of Executive Assistant, Executive Administrative Assistant, or similar experience.
  • Associate's degree or higher.
  • Demonstrated experience supporting senior executives, preferably VP, SVP, C-suite, or equivalent leadership.
  • Strong experience with complex calendar management and scheduling.
  • Experience coordinating executive travel and meetings.
  • Experience supporting special projects and preparing reports/presentations.
  • Strong meeting coordination, minute-taking, and action-item follow-up skills.
  • Advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills and meticulous attention to detail.
  • Ability to manage multiple priorities and changing deadlines independently.
  • High level of professionalism, discretion, judgment, and confidentiality.
Ideal Candidate Profile

The ideal candidate is a Senior Executive Assistant or Executive Business Partner who has several years of experience directly supporting senior leadership in a corporate environment.

They should be more than a calendar manager—they should be a trusted executive partner who can independently manage priorities, coordinate complex travel and meetings, own special projects, prepare executive-level materials, and follow through on action items.

Candidates coming from financial services, healthcare, insurance, professional services, manufacturing, technology, or other complex corporate environments are especially relevant.
