We are seeking an exceptionally polished, proactive, and resourceful Executive Assistant/Office Manager to support two Co-Founders of a fast-growing technology startup. This is a high-visibility role for an individual who thrives in an entrepreneurial environment, enjoys being at the center of the business, and can seamlessly balance sophisticated executive support with hands-on office operations.
Responsibilities of the Executive Assistant:
- Provide high-level, proactive administrative support to two Co-Founders, serving as a trusted partner and gatekeeper.
- Manage complex, frequently changing calendars across multiple time zones, strategically prioritizing meetings and protecting the Co-Founders' time.
- Coordinate extensive domestic and international travel, including flights, hotels, ground transportation, itineraries, and last-minute changes.
- Prepare the Co-Founders for meetings by organizing agendas, briefing materials, presentations, and relevant background information.
- Coordinate internal and external meetings with investors, board members, clients, partners, and senior executives.
- Manage meeting follow-ups, action items, and key deadlines to ensure timely execution.
- Own the day-to-day operations of the company's office, ensuring it is organized, welcoming, and functioning efficiently.
- Serve as the primary point of contact for office vendors, building management, IT, maintenance, cleaning, security, and other service providers.
- Manage office supplies, equipment, pantry, snacks, and general workplace needs.
- Coordinate office events, team gatherings, celebrations, happy hours, lunches, and company-wide meetings.
- Serve as a professional liaison between the Co-Founders and employees, investors, clients, partners, and other external stakeholders.
- Draft and manage correspondence, communications, presentations, and other confidential materials.
- Handle highly sensitive business and personal information with discretion and sound judgment.
- Assist with special projects and ad hoc initiatives on behalf of the Co-Founders.
- Anticipate the Co-Founders' needs and proactively identify solutions before issues arise.
- Take ownership of cross-functional projects and initiatives as assigned by the Co-Founders.
Requirements of the Executive Assistant:
- 3+ years of experience supporting C-suite executives, founders, entrepreneurs, or senior leaders.
- Previous experience in a technology, startup, venture-backed, or high-growth company strongly preferred.
- Experience supporting multiple executives simultaneously in a fast-paced environment strongly preferred.
- Highly proficient in Google Workspace; comfortable learning new technology and AI-enabled tools.
- Strong project management skills with the ability to manage multiple priorities and deadlines.
- Exceptional attention to detail and follow-through.
- Demonstrated ability to exercise discretion and maintain confidentiality.
- Highly proactive and solutions-oriented with excellent judgment.
- Comfortable operating in an environment where priorities can shift quickly and processes are still being built.
- Ability to work independently, take ownership, and anticipate needs without constant direction.
