- Contract:$42–$48/hour DOE

Position Summary
Our client, a well-established and highly respected real estate investment firm with more than 57 years of history, is seeking an experienced executive assistant to support the CEO in their Oakland office. This organization is known for its outstanding reputation, deep Bay Area roots, collaborative culture, and exceptional employee retention.
This is a unique opportunity for someone who enjoys wearing multiple hats. While the primary focus of the role is providing executive support, approximately 75% of the position is dedicated to Executive Assistant responsibilities and Office Management, with the remaining 25% focused on Personal Assistant support. This individual will play an integral role in helping the CEO stay organized while also ensuring the office operates efficiently and providing occasional support for company events and operational initiatives.

Responsibilities
Executive Support (Approximately 75%)
- Manage complex and dynamic calendars, meetings, appointments, and executive priorities.
- Coordinate domestic and international travel, itineraries, and expense reporting.
- Prepare meeting agendas, presentations, reports, and executive correspondence.
- Serve as the primary liaison between the executive, internal teams, vendors, and external stakeholders.
- Track priorities, action items, and deadlines to ensure timely follow-through.
- Maintain confidential files, records, and executive documentation.
- Anticipate executive needs and proactively solve problems before they arise.
- Help create systems and processes that improve executive efficiency and organization.
- Own the day-to-day management of the office, ensuring a welcoming, organized, and efficient workplace.
- Coordinate office vendors, supplies, equipment, and facility-related needs.
- Assist with planning company meetings, employee events, and special projects.
- Support operational initiatives and collaborate with other departments as needed.
- Serve as a resource for office logistics and help wherever needed to keep the organization running smoothly.
Personal Assistant & Office Management (Approximately 25%)
- Provide occasional personal assistant support to the CEO and family, including coordinating personal appointments, errands, and special requests.

Experience
- 3 - 5+ years of executive assistant experience supporting C-level executives, ideally CEOs or company founders.
- Previous experience in office management, workplace operations, or administrative management preferred.
- Experience providing personal assistant support is highly desirable.
- Exceptional organizational and project management skills with strong attention to detail.
- Excellent written and verbal communication skills.
- Ability to exercise sound judgment and maintain strict confidentiality.
- Comfortable balancing multiple priorities while adapting to changing business needs.
- High level of professionalism, executive presence, and emotional intelligence.
- Demonstrated longevity and commitment in previous positions.
- Self-starter with the ability to anticipate needs and work independently.
Technology & Tools
- Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
- Experience with internal business systems (training provided)
