Job summary

Norfolk State University seeks an Executive Assistant to support the Vice President for Research & Innovation. The role enhances coordination among students, faculty, staff, and external partners to advance NSU's research enterprise.

Minimum qualifications emphasize initiative, judgment, relationship-building, and proficiency in Colleague by Ellucian and Microsoft Office. A Bachelor's degree (Master's preferred) with relevant experience is required.

Job description

The Executive Assistant works primarily to support the VPRI’sdispensation of duties and may work with or in support of students,faculty, staff, administrators and external constituents topromote, improve and facilitate coordination of tasks and generaloperations of NSU’s research enterprise and innovationecosystem.

Minimum Qualifications
  • 1. Ability to assume new and other responsibilities on owninitiative and execute them in an effective manner asnecessary.
  • 2. Ability to exercise sound, independent judgment when makingdecisions, as well as, functioning calmly and effectively duringtimes of crisis. Problem-solving skills required in discerning whenand how to re-route or solve issues that can be handled at a lowerlevel first and know when issues need the immediate attention ofthe provost.
  • 3. Ability to establish and maintain effective workingrelationships within the office as well as with other internalconstituents (senior administration, faculty, staff) and interactprofessionally with external constituents (students, parents,alumni, and the public).
  • 4. Knowledge of general office, legislators, Board of Visitors,SCHEV, other professional counterparts, community leaders, AcademicAffairs, and other administrative principles, practices, andprotocol.
  • 5. Excellent oral and written communication skills, includingcorrespondence writing, meeting note-taking, and professionalpresentation development.
  • 6. Strong organization skills, tact, and creativity; attention todetail; efficiency in handling problems; coordinating and reviewingbudgets; handling several tasks simultaneously and sometimesunexpectedly; working in a fast-paced environment; and commitmentto completing tasks to the highest standards.
  • 7. Experience in a student management system software (i.e.Colleague by Ellucian) and operating a personal computer andproficient in Microsoft Office Suite (Word, Excel, PowerPoint, andOutlook) and presentation software.
  • 8. Work as part of a team to ensure a positive, proactive,professional, efficient, and effective office environment, and willbe proactive in simplifying systems, increasing use of universityenterprise software, and reducing paperwork.
  • 9. Exercise considerable judgment, initiative and discretion basedon knowledge of university policies and procedures and workingcollegially with an administrative team.
  • 10. Ability to handle confidential matters with discretion andtact; maintain composure and competence under pressure; and bedetail oriented. Must be able to prioritize essential tasks, haveinitiative, be self-directed with good decision-making skills; andhave the capacity to be a strong team player.
  • 11. Exercise the highest standard of confidentiality, integrity,and professionalism in all duties.
Preferred Qualifications
  • 1. Bachelor's degree from an accredited institution and 5 years'experience providing administrative support to a high-levelmanager, preferably in higher education and/or non-profit setting;or an equivalent combination of education and experience.
  • 2. Master’s degree from an accredited institution.

Hiring Range: 51,000 - 61,000
