Evlo AI is seeking an Executive Assistant to provide high-trust operational support to senior leaders in a fast-growing technology company in New York. You will manage calendars across time zones, coordinate cross-functional initiatives across product, engineering, and go-to-market teams, and ensure decisions and meetings move efficiently in a hybrid environment.

The role requires 3–8 years of experience, strong organizational skills, proficiency with Google Workspace and collaboration tools,

Qualifications

  • 3-8 years of experience supporting executives or high-volume administrative operations in a fast-paced tech/finance/consulting environment.
  • Ability to manage multiple complex calendars, priorities, and frequent changes with sound judgment and minimal supervision.
  • Advanced proficiency with Google Workspace, Slack, Zoom, and modern PM/documentation tools such as Notion/Asana/Airtable.
  • Strong written and verbal communication skills for senior stakeholders.
  • Excellent organization, follow-through, and discretion with confidential information.
  • Bachelor’s degree or equivalent experience in business administration, communications, operations, or related field.
  • Bonus: experience supporting C-level executives, coordinating board/investor meetings, managing international travel, or improving administrative processes.

Responsibilities

  • Manage complex calendars across time zones using Google Calendar, including prioritization, meeting prep, conflict resolution, and protected focus time.
  • Coordinate leadership meetings, operating reviews, board sessions, and offsites using Slack, Zoom, Notion, and shared documentation; prepare agendas and track action items to completion.
  • Arrange domestic and international travel, including itineraries, ground transportation, accommodations, visas, and real-time changes.
  • Prepare briefing materials, meeting notes, expense reports, and executive communications while handling confidential information with discretion.
  • Partner with chiefs of staff, business operations, finance, people teams, and executive assistants to coordinate planning cycles, events, and cross-functional deliverables.
  • Maintain reliable administrative workflows in tools such as Google Workspace, Ramp, Concur, Airtable, and Asana, improving processes as team needs scale.
  • Manage office and team logistics for the New York hybrid environment, including visitors, leadership events, equipment, and recurring on-site programs.

The successful candidate will create structure across shifting priorities, anticipate dependencies, and ensure decisions, meetings, and follow-through move efficiently in a hybrid operating environment.

What We Are Looking For
  • 3-8 years of experience supporting executives, senior leaders, or high-volume administrative operations in a technology, finance, consulting, or similarly fast-paced environment
  • Demonstrated ability to manage multiple complex calendars, competing priorities, and frequent changes with sound judgment and minimal supervision
  • Advanced proficiency with Google Workspace, Slack, Zoom, and modern project-management or documentation tools such as Notion, Asana, Airtable, or equivalent platforms
  • Strong written and verbal communication skills, including the ability to draft clear correspondence, prepare concise meeting materials, and communicate with senior stakeholders
  • Exceptional organization, follow-through, attention to detail, and discretion when handling confidential business, personnel, and financial information
  • Associate or bachelor’s degree in business administration, communications, operations, or a related field, or equivalent professional experience
  • Bonus: Experience supporting C-level executives, coordinating board or investor meetings, managing international travel, or improving administrative processes in a scaling technology company
