Job Title: Executive Administrative Assistant

Location: Milpitas, CA

Job Type: Part-time, 10 hours/week

Our Client is a longstanding, internationally recognized firm specializing in impact accounting, management, and valuation. They serve the growing impact sector driving the transition to a more sustainable and equitable global economy. Their work integrates direct client advisory services with industry capacity building and thought leadership.

Our Client is seeking a highly organized and proactive Executive Administrative Assistant to support the Founder & CEO. This role is instrumental in optimizing the executive’s time and effectiveness by managing administrative functions and ensuring alignment with company goals. The ideal candidate is detail-oriented, resourceful, and able to manage a wide range of responsibilities with discretion and professionalism.

Key Responsibilities:

  • Strategically manage the Founder’s calendar and schedule, ensuring alignment with organizational priorities
  • Screen, organize, and respond to email communications as appropriate
  • Organize digital and physical files, maintaining a clear and efficient filing system
  • Conduct basic research and compile information to support executive decision-making
  • Perform occasional personal and professional errands as needed
  • Provide general administrative support to facilitate smooth day-to-day operations
  • Act as a gatekeeper and liaison on behalf of the Founder with internal and external stakeholders
  • Proactively identify opportunities to improve time management, processes, and efficiency

Qualifications:

  • Proven experience as an executive assistant, administrative assistant, or similar role
  • Excellent organizational and time-management skills
  • Strong written and verbal communication abilities
  • High level of discretion and professionalism
  • Tech-savvy, with proficiency in email platforms, cloud-based file systems, and calendar management tools
  • Able to manage multiple priorities and maintain attention to detail under pressure
  • Comfortable working both independently and collaboratively
  • Passion for or interest in impact measurement, sustainability, or social equity is a plus
