Executive Assistant
Job Description

Experience: Senior Level

Salary: $100,000 - $130,000 per year

This is not your traditional Executive Assistant position.

We are looking for a highly capable, business-minded professional who enjoys being a true partner to an executive while taking ownership of projects that extend well beyond administrative responsibilities.

The ideal candidate brings the organization and attention to detail of an exceptional EA, the business acumen of a Chief of Staff, and genuine enthusiasm for technology, AI, innovation, and continuous learning.

You will work closely with a CEO who values collaboration, curiosity, and new ideas. This position offers the opportunity to contribute across business operations, technology initiatives, organizational development, and strategic projects.

We are looking for someone who can anticipate needs, bring structure to competing priorities, confidently move projects forward, and translate ideas into action.

What You'll Do
Executive Partnership
  • Serve as a trusted business partner to the CEO, managing complex calendars, travel, communications, expenses, and executive priorities.
  • Anticipate needs and proactively identify opportunities to improve executive effectiveness.
  • Manage confidential business information with exceptional judgment and discretion.
  • Act as a liaison between the CEO, executive leadership, employees, and external stakeholders.
Strategic Projects & Business Operations
  • Manage cross-functional initiatives from concept through execution.
  • Coordinate stakeholders, establish timelines, track deliverables, and ensure accountability.
  • Identify opportunities to improve workflows, organizational processes, and operational efficiency.
  • Research business topics, prepare reports, and translate findings into actionable recommendations.
  • Support initiatives involving organizational development, performance management, and continuous improvement.
Technology & Innovation
  • Leverage emerging technologies, including AI tools such as ChatGPT and Claude, to improve productivity and business processes.
  • Help identify opportunities for technology adoption, automation, and operational improvements.
  • Collaborate with cross-functional teams on innovation and technology-related initiatives.
  • Stay curious about new tools, platforms, and approaches that can help move the business forward.
Executive Communication & Events
  • Prepare executive presentations, meeting materials, and communications.
  • Facilitate meetings, coordinate next steps, and drive follow-through.
  • Represent executive leadership professionally in internal and external settings.
  • Participate in company events, trade shows, and occasional business travel.
  • Assist with special projects, events, and executive-related initiatives as needed.
What We're Looking For
  • Approximately 10+ years of progressive experience supporting senior executives, CEOs, founders, or other C-suite leaders.
  • Background as an Executive Assistant, Executive Business Partner, Chief of Staff, or similar hybrid position.
  • Strong business acumen with demonstrated experience beyond traditional administrative support.
  • Proven ability to manage projects, coordinate stakeholders, and independently drive results.
  • Exceptional organizational skills and the ability to manage competing priorities.
  • High emotional intelligence, sound judgment, discretion, and executive presence.
  • Strong written and verbal communication skills, including comfort facilitating meetings and delivering presentations.
  • Technologically savvy, with practical experience using AI tools and an interest in emerging technology.
  • Comfortable supporting both strategic initiatives and hands‑on executive administrative responsibilities.
  • A proactive, solutions-oriented personality with the confidence to respectfully challenge ideas and offer recommendations.
  • Experience with organizational development, technology implementation, process improvement, or business operations is highly desirable.

This opportunity is being managed confidentially on behalf of an established employer.

The Laguna Nigel posting location is intended to reach candidates throughout the surrounding market. The position is not based in Laguna Nigel. The exact office location and company identity will be disclosed to qualified candidates before client interviews.
