Senior Executive Assistant to CEO | Executive & Personal Support
Location: Calabasas / Woodland Hills, CA
Schedule: Full-Time | Onsite | Direct Hire
This Isn't Your Typical Executive Assistant Opportunity!
We're partnering with a highly respected, privately held real estate investment and development firm to find an exceptional Senior Executive Assistant to support its dynamic, entrepreneurial CEO. With over 40 years of success, a portfolio of 100 shopping centers, and more than 12 million square feet of commercial real estate, this organization has built an impressive reputation for its investments, community involvement, and people-first culture.
Think the sophistication and financial strength of a major real estate organization, paired with the accessibility, personality, and close-knit environment of a privately held business.
At the center of it all is a highly accomplished, family-oriented CEO who is deeply involved in his business, philanthropy, and personal life. He's looking for a trusted right hand who can seamlessly navigate both worlds.
This position is approximately 50% Executive Support and 50% Personal Assistance.
We're looking for someone who thrives on variety, anticipates needs before they're communicated, and takes genuine pride in making an executive's life run effortlessly.
What You'll Be Doing
You’ll be the CEO’s go‑to person for everything from high-level business priorities to personal and family logistics. No two days will look alike!
Executive & Business Support
- Serve as a trusted extension of the CEO, managing incoming calls, screening communications, and acting as a gatekeeper.
- Prepare polished presentations, business correspondence, reports, and executive materials.
- Track priorities, follow-ups, deadlines, and action items to ensure nothing falls through the cracks.
- Liaise with internal leadership, business partners, and external stakeholders.
- Assist with office operations, special projects, executive meetings, and company initiatives.
- Leverage technology and AI tools to streamline processes and improve efficiency.
Personal & Family Support
- Coordinate personal and business travel, including flights, accommodations, transportation, and detailed itineraries.
- Assist with travel arrangements and logistics for the CEO's family.
- Coordinate household vendors, maintenance, vehicle servicing, and other personal matters.
- Organize important personal records, insurance documents, and financial correspondence.
- Serve as a trusted point of contact for personal service providers, attorneys, financial advisors, and other professionals.
- Handle last‑minute requests, unexpected challenges, and changing priorities with urgency and discretion.
Important: The CEO manages his own calendar, so this is NOT a traditional calendar‑heavy Executive Assistant position. The emphasis is on communication management, logistics, problem‑solving, and proactive executive and personal support.
Who We're Looking For
We need someone who is exceptionally polished, incredibly detail‑oriented, proactive, and resourceful.
- 7–10+ years of Executive Assistant or senior administrative experience, including 5+ years supporting a CEO, founder, or high‑level executive.
- Must have experience handling BOTH executive business support and personal assistant responsibilities.
- Impeccable attention to detail with the ability to juggle multiple priorities without missing a beat.
- Highly polished, professional, and confident communicating with executives, business leaders, and personal contacts.
- Exceptional organizational skills with a natural ability to anticipate needs and stay three steps ahead.
- Strong experience coordinating complex domestic travel; private aviation experience is a plus!
- Advanced Microsoft Office skills, particularly PowerPoint, with hands‑on experience using AI tools.
- Exceptional discretion, judgment, and professionalism when handling confidential business and family matters.
- A proactive, solutions‑oriented personality who knows how to get things done without constant direction.
- Comfortable managing and screening calls after hours and being accessible on evenings or weekends when urgent matters arise.
The ideal person is someone who doesn't wait to be told what needs to happen. They see it, own it, and execute.
Why You'll Love This Opportunity
- $95,000 base salary + discretionary annual bonus
- 100% company‑paid HMO medical coverage, with PPO options available.
- Dental, vision, life insurance, disability coverage, and additional wellness benefits.
- 401(k) with company match.

- Work directly alongside a highly successful, well‑connected CEO with a strong commitment to family and community.
- Join a stable, established organization with an entrepreneurial mindset and impressive real estate portfolio.
- Enjoy a genuinely fun, social, and collaborative culture with company outings, team celebrations, and long‑tenured employees.
- Gain exposure to executive leadership, real estate investments, family office matters, and a wide variety of special projects.

Qualified candidates who are available to make a move immediately are strongly encouraged to apply!
This is a fully onsite opportunity in the Calabasas/Woodland Hills area. Candidates must be comfortable with after‑hours availability when business or personal needs require immediate attention.
